CLASSIFICATION: Non-Affiliated Administrator (AN) Status: Full-Year, Part-Time (Hourly, Non-Exempt) Contract: Non-Affiliated Administrator - Contract Addendum A Reports to: Executive Director of Fund Development and Marketing Non-Affiliated Administrator Benefits & Health Insurance This position is a full-year (250 days + 10 paid holidays), part-time (20 hours/week) position within the Fund Development Department. The base wage for 2026/27 is $22.17/hour and is eligible for a degree and longevity (based on previous public school experience in a similar position) stipend. General Summary: The Fund Development Assistant provides administrative, operational, and research support to the Executive Director of Fund Development. This role plays a key part in securing district grant funding, managing donor relations, tracking fundraising campaigns, and supporting initiatives that directly benefit TCAPS students, teachers, and school programs.
Essential Duties and Responsibilities: Grant Support and Research
• Research foundation, corporate, state, and federal grant opportunities aligned with district goals.
• Maintain a master tracking calendar for grant application deadlines, reporting dates, and requirements.
• Assist in gathering data, narrative draft preparation, and compliance documentation for grant submittals.
Donor Relations and Database Administration
• Maintain accurate donor records, gift entry, and pledge tracking in the fundraising database.
• Draft and send timely gift acknowledgment letters and tax receipts to donors.
• Help prepare mailing lists for annual appeals, newsletter updates, and special district campaigns.
Campaign and Event Logistics
• Provide administrative coordination for district fundraising events and campaigns.
• Assist in developing promotional materials, digital content, and communications for advancement efforts.
• Coordinate meeting logistics, prepare agendas, and record minutes for development committee meetings.
General Administrative Support
• Prepare financial reports, budget reconciliations, and gift summaries as requested.
• Serve as a reliable secondary point of contact for external inquiries regarding district donations.
• Perform other related operational duties as assigned by the Executive Director.
Knowledge, Skills, and Abilities Required:
• Associate degree required; Bachelor's degree preferred.
• 1–3 years of experience in fundraising, administrative support, grant writing assistance, or non-profit administration.
• Skilled in donor management software (e.g., Bloomerang, or similar CRM), Microsoft Office Suite, and Google Workspace.
• Exceptional written communication skills with strong attention to detail in editing and record-keeping.
• Proven ability to manage multiple project timelines, maintain strict confidentiality, and handle sensitive donor data.
Physical and Mental Requirements:
• Must be able to report to the office and maintain punctual attendance.
• Regular use of computer and other office equipment.
• Ability to maintain confidentiality of student information.
• Occasionally move supplies weighing up to 20 lbs.
• Ability to drive to various locations throughout the district.
Environmental Conditions: This is a largely sedentary assignment, with most of the duties performed on a computer or phone in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Work Schedules: 20 hours per week with occasional evening and weekend hours.This is a year-round position.
