Job Title: Human Resources Coordinator - Classified Department: Student Services and HR Reports to: Executive Director of Student Services Classification: Exempt Work Schedule: 12 months
Summary The Human Resources Coordinator - Classified Staff position is responsible for providing highly skilled, confidential, and professional support in the daily operations of the Human Resources Department with an emphasis on classified personnel. This position manages recruitment, hiring, onboarding, employee support, records management, and wellness initiatives for classified employees while ensuring strict adherence to established procedures and district expectations. The Human Resources Coordinator supports district compliance, maintains precise and orderly records, and provides exceptional customer service to employees, applicants, and community partners. The individual in this role must exercise independent judgment, follow procedures consistently, safeguard sensitive information, and represent the district with a welcoming, kind, and professional demeanor. Essential Duties and Responsibilities Recruitment, Hiring, and Onboarding
• Coordinate recruitment activities for classified positions, including job postings, advertising, applicant communication, and interview logistics.
• Conduct and document professional reference checks for classified staff candidates and provide hiring teams with summary information.
• Maintain and troubleshoot applicant tracking and digital forms systems (TalentEd, Records), updating workflows, forms, and processes.
• Prepare and process personnel requisitions and onboarding documentation for classified employees.
• Assist in evaluating applicant qualifications and salary placement as directed.
• Conduct required background checks through MACHS, CaseNet, FCSR, and E-Verify, and maintain district compliance records.
• Coordinate and facilitate onboarding processes for all newly hired classified staff.
• Coordinate internal and external onboarding and training opportunities for newly hired classified employees, including technology systems, district procedures, compliance requirements, and other essential job-related information.
• Coordinate 30-day, 60-day, and 90-day success checkpoints for newly hired classified employees.
Personnel Records and Compliance
• Maintain accurate personnel files, evaluations, employment records, and salary adjustments for classified employees.
• Update and maintain personnel records for changes in name, address, and other demographic information.
• Maintain compliance with E-Verify, MACHS, SafeSchools, MOSIS, and applicable federal and state labor laws.
• Communicate personnel actions and board materials to the Human Resources Coordinator - Certified Staff.
• Track probationary employment periods and employment milestones for classified employees.
HR Systems and Data Management
• Assist with processing personnel and payroll information in SISFIN.
• Manage district absence, leave, FMLA, and TimeClock Plus systems; provide training and support to administration and staff.
• Periodically audit classified employee data with appropriate district departments.
• Monitor and track classified employee compensation programs, including progressive wage advancement programs established by the district.
Employee and Public Support
• Provide exceptional customer service in response to employee questions regarding policies, procedures, benefits, and HR processes.
• Handle concerns and inquiries with tact, professionalism, and kindness, ensuring a welcoming environment for all staff and visitors.
• Maintain confidentiality and exercise discretion in sensitive HR matters.
Employee Wellness Programs
• Coordinate and administer the district employee wellness program.
• Serve as the primary point of contact for wellness initiatives, employee participation, and program communications.
• Maintain wellness records, participation tracking, incentive management, confidential documentation, and program reports.
• Plan and coordinate wellness activities, challenges, screenings, and employee engagement events throughout the year.
• Manage wellness program budgets, purchases, incentives, and related financial records.
Additional Responsibilities
• Coordinate employment verifications, unemployment claims, subpoenas, and confidential requests for records.
• Prepare separation documentation and assist with offboarding processes.
• Assist in creating and updating classified job descriptions.
• Perform other related duties as assigned.

• Make recommendations for streamlining workflows, digitizing processes, and enhancing the user experience for employees, applicants, and supervisors.
• Assist in developing, refining, and implementing technology-based procedures to support consistent, organized, and efficient HR operations.
• Provide training and support to staff in the use of HR systems and tools, ensuring compliance and accurate data entry.
• Maintain up-to-date knowledge of HR technology trends and best practices and apply them appropriately within the district.
Physical Demands The employee is regularly required to sit, talk, hear, and use hands to operate office equipment. The employee is frequently required to walk, stand, reach, and bend. The employee must occasionally lift and carry up to ten pounds. Close vision is required for detailed computer work for extended periods. Attendance Consistent and regular attendance is an essential function of this position. Conditions and Environment The work environment is consistent with a typical office setting and requires regular interaction with staff, applicants, and the public in a professional and welcoming manner.
Required Qualifications
• Bachelor's Degree in Human Resources, Business Administration, Public Administration, Education, or a closely related field or
• 1-2 years of progressively responsible HR experience, preferably including employee relations, recruitment, onboarding, benefits, personnel records, or HR administration.
Preferred Qualifications
• Bachelor's Degree in Human Resources, Business Administration, Public Administration, Education, or a closely related field.
• 3-5 years of progressively responsible HR experience, preferably including employee relations, recruitment, onboarding, benefits, personnel records, or HR administration.
• Experience working with classified/non-certified employees, preferably in a K-12 school district or other public-sector environment.
