Job Posting: Halifax Regional Municipality is inviting applications for the temporary, full-time position of Tenant Service Coordinator in the Corporate Real Estate division of Property, Fleet & Environment.

Reporting to the Team Lead, Accommodations & Tenant Services, the Tenant Service Coordinator is responsible for overseeing the service delivery to support the efficient and professional management of assigned HRM facilities or sub-portfolio. The Tenant Service Coordinator will play a key customer service and relationship role to ensure services to tenants and building users are successfully delivered and well-coordinated. The Tenant Service Coordinator deals with leaseholds and tenant fit up management, staff accommodations within owned and leased facilities, and responds to customers’ needs by providing effective and economical project alternatives and solutions for their facility needs.

DUTIES AND RESPONSIBILITIES • Manage internal and external service providers and contractors to ensure that the delivery of lease premises and accommodation work is completed according to service expectations and budget ensuring contractual and/or lease obligations are met. • Coordinate with key personnel within the various business units to deliver specific projects and identify/monitor issues as they arise and implement prompt solutions. • Collaborate with Procurement and Facility Maintenance Supervisors to develop scope of work for building service contracts. • Conduct regular reviews and inspections of facilities for contract compliance, tenant satisfaction and asset condition. • Oversee and provide direction to independent service providers and internal staff and make recommendation in respect of performance management and progressive discipline as required. • Coordinate and support the service relationship between the operations staff and the client and/or building occupants. • Work with Facilities Construction & Development on facility renovations and act as liaison with building occupants to keep them informed with respect to project status and schedules to ensure minimum impact on day to day operations. • Provide input regarding facilities risk management considerations. • Approve trade, supplier and contractor invoices in accordance with project specifications, field change orders, etc. • Respond to emergency situations in relation to assigned portfolio. • Assist with the introduction of corporate standards, policies, procedures, best practices and training programs and ensure conformance with HRM’s policies and procedures by external service providers. • Establish and maintain positive and effective working relations with HRM Management, staff, Council and the general public.

QUALIFICATIONS Education & Experience • Facility or Property Management designations, including, but not limited to, Real Property Manager (RPA), Facilities Management Advisor (FMA) or Certified Property Manager (CPM) is considered an asset. • Minimum three years’ experience in commercial property management and at least three years supervisory experience, preferably in property or facilities management. Experience in facility planning and/or building operations and leasehold improvements. • Demonstrated experience in life cycle planning, business planning and performance measurements standards. Technical/Job Specific Knowledge and Abilities • A broad knowledge in the management of a wide variety of real estate services, including lease, purchase and sale of property, and property management, project management and administration. • General knowledge of HVAC, electrical systems, plumbing, building maintenance; ability to coordinate work with project managers for capital/repair projects and participate in the commissioning process. • Knowledge of Municipal, Provincial and Federal safety and legislative requirements. • Very strong teamwork, customer service and communication skills with ability to quickly develop client and supplier relationships. • Self-motivated, professional and flexible: able to work independently and as part of a team. • Working knowledge of administration and budget development, preparation and control. • Working knowledge of lease, partnership and management agreement contract preparation, negotiation and administration. • General knowledge and awareness of occupational health, safety and environmental regulations, statutes and practices. • General knowledge of information technology systems, such as work order systems and real estate and leasing tracking systems. • Autonomous, able to act with a minimum of direction to prevent and resolve situations that will arise in the portfolio. An equivalent combination of education and experience may be considered. WORK STATUS: Temporary, full-time up to 14 months.

HOURS OF WORK: 8:30am-4:30pm, Monday to Friday; 35 hours per week. Flex options to work outside of these hours and hybrid may be available.

SALARY: Non-union Level 5 $67,498-$87,355. Salary will be determined based on relevant experience and qualifications related to the specified pay band and job. Placement above the midpoint of the pay band is typically reserved for candidates who significantly exceed the minimum qualifications, such as those with exceptional experience, specialized skills, or demonstrated achievements relevant to the role. This ensures fair and consistent compensation practices across the organization.
