Behind every unforgettable trip, there is a huge amount of coordination that happens long before our guests begin their journey. From supplier communications and rooming lists to logistics tracking and invoicing, getting the details right is what helps create exceptional travel experiences.
We're looking for a Supplier Administrator to join our Business Innovation and Product Strategy team and provide practical administrative and coordination support across our supplier and trip operations.
This is a part-time position working a minimum of 20 hours per week on a fixed-term basis until approximately April 2027. The role has been created to provide additional support to the team during a period of parental leave.
This is a great opportunity for someone who enjoys organisation, problem-solving and ensuring the details are taken care of so our trips run smoothly behind the scenes.
You'll be part of a collaborative team and play an important role in supporting supplier relationships, maintaining accurate information and helping keep day-to-day operations running efficiently.
What you'll be doing
• Support supplier communications, follow-ups and responses to routine enquiries.
• Share trip information with suppliers, ensuring details are accurate and communicated in a timely manner.
• Prepare and maintain guest rooming lists and assist with room allocations.
• Update and maintain supplier information, logistics trackers and trip records.
• Review supplier status reports and complete associated follow-up actions.
• Identify and raise missing information, discrepancies or issues that may impact suppliers, guests or trip departures.
• Support late booking enquiries, trip changes and tour cancellations as required.
• Assist with reviewing supplier invoices and identifying discrepancies prior to processing.
• Provide general administrative support to the Supplier Relations Coordinator and wider team.
About you
You're someone who enjoys being organised, takes pride in getting the details right, and is happy working behind the scenes to help things run smoothly. You’re proactive, dependable and comfortable juggling multiple tasks while maintaining a high level of accuracy.
You'll ideally bring:
• Experience in tourism, travel, hospitality, operations, administration or a similar environment.
• Strong organisational skills and the ability to manage multiple priorities and deadlines.
• Excellent attention to detail when working with bookings, supplier information, spreadsheets and operational records.
• Clear written and verbal communication skills, with the confidence to communicate professionally with suppliers and colleagues.
• Confidence using Microsoft Excel and the ability to quickly learn new systems and tools.
• Good judgement and the ability to identify and raise issues before they become problems.
• A proactive approach, with the ability to work independently while remaining connected to the wider team.
