Position Description
The Samples and Parts Specialist is responsible for ensuring the accurate labeling, organization, tracking, and fulfillment of product samples and parts while supporting the operational needs of the Samples and Merchandising teams. This role serves as a key point of coordination between vendors and internal departments, helping to maintain efficient workflows, resolve fulfillment issues, manage inventory and receiving activities, and support continuous process improvement. Success in this role requires strong attention to detail, organization, communication, and the ability to manage multiple priorities in a fast-paced environment.
Position Responsibilities
• Create, maintain, and update sample labels using Adobe applications, including updates associated with new products, product changes, variant splits, and product renaming.
• Own the organization, tracking, and cataloging of packages and materials received in the receiving area.
• Coordinate parts fulfillment and assist with parts-related requests and issues.
• Review and interpret parts-related invoicing and assist with resolving discrepancies or fulfillment issues.
• Communicate professionally with vendors, Customer Service, Merchandising, and other internal teams regarding parts, samples, receiving, and fulfillment issues.
• Use JIRA to track progress on sample relabels and update the merch team in JIRA platform for status here.
• Maintain clear documentation and organization for assigned processes.
• Assist in developing and maintaining standard processes and contingencies for critical Samples Department functions.
• Assist samples lead with inventory management, including counting stock and backstock.
• Support Merchandising with miscellaneous operational tasks related to samples, products, parts, labeling, or fulfillment.
• Maintain an organized, clean, and efficient receiving and Samples work environment.
• Cross-train on key samples department responsibilities to provide additional coverage and operational flexibility.
• Support daily sample fulfillment and pull samples as needed based on department volume and workload.
Skills & Experience Required Skills
• Strong attention to detail and accuracy, particularly when managing sample labels, product information, inventory, and fulfillment requests.
• Excellent organizational and time management skills with the ability to prioritize multiple tasks and deadlines.
• Effective verbal and written communication skills, with the ability to work professionally with vendors and cross-functional teams.
• Problem-solving skills and the ability to identify, troubleshoot, and resolve fulfillment, inventory, or receiving issues.
• Proficiency with Microsoft Office applications, particularly Excel, Outlook, and Teams.
• Ability to learn and utilize business systems and workflow tools, including JIRA and inventory management platforms.
• Ability to work independently while maintaining a collaborative team-oriented approach.
• Strong documentation and process-management skills.
Preferred Experience
• 1+ years of experience in sample operations, inventory management, fulfillment, warehouse operations, merchandising support, or a related role.
• Experience creating and editing labels or marketing materials using Adobe Creative Suite (Illustrator, Acrobat, or similar applications).
• Experience with inventory control, receiving, shipping, or parts fulfillment processes.
• Experience working in a product-driven, retail, e-commerce, manufacturing, or distribution environment.
• Familiarity with JIRA, project tracking systems, or workflow management tools.
• Experience supporting cross-functional teams and coordinating with external vendors.
Education
• High School Diploma or GED required.
• Associate's degree or additional coursework in Business, Supply Chain, Operations, Merchandising, or a related field preferred.
