About this role

Job summary

Administrative position, fixed term for nine months at Barnsley Street NMHC, 5 days a week.

We are looking to recruit a Team Secretary/Administrator to provide confidential secretarial and administrative support to Service consultants, Line Manager, and multi-disciplinary teams, ensuring efficient team operations.The individual in this role must function effectively in a highly demanding and busy setting, demonstrating flexibility and adaptability, along with the capability to prioritize tasks and use their judgment to make sound decisions. Typing correspondence (50-60wpm), including general letters, reports, communications with legal professionals, patients, manuscripts, clinical correspondence, etc. Responsible for managing the diary of the consultant and team, ensuring that information is reflected in the Outlook calendar so that other clinicians can verify their availability for meetings and remain aware of the medical staff's locations and schedules at all times. Main duties of the job

To work to secretarial and administrative standards as outlined by the Service.

To undertake any other ad hoc secretarial/administrative duties as required by the Lead Consultant, Senior staff and Line Manager, consistent with the post and grade.

To work alongside and to cover, when appropriate, other administration staff across several locations in some instances.

Responsible for inputting and retrieving information from the designated computerised system ie; RIO, Reporting Services, Mosaic or any other system that may be introduced by the Trust or partner agencies.

Person Specification

Education/ Qualification/ Training Essential

English GCSE or equivalent Good standard of Written and Spoken English

Desirable

AMSAR, or equivalent. Full range of secretarial procedures to RSA. 3/NVQ 3 level or equivalent experience.

Experience Essential

oWorking In a Team. oBasic Office Experience. oWorking as part of an administrative/secretarial team for at least two years.

Desirable

oWorking with people suffering from mental ill health. oWorking in a Multidisciplinary Health Team

Knowledge and Skills Essential

oComputer Literacy. o50-60 wpm copy. oFamiliarity with switchboard duties. oAbility to manage own workload without direct supervision. oEqual Opportunities. oAn Understanding of Office Procedures oConfidentiality.

Desirable

o50-60 wpm audio. oKnowledge of Access/Patient Administration systems

Other Essential

Professional Accountability. Flexibility. Communication Skills Polite and Friendly Ability to deal with verbally aggressive service users. Ability to work on own initiative
