Administrative Assistant
Job Posting: Halifax Regional Municipality (HRM) is inviting applications for one (1) temporary up to 18 months full-time Administrative Assistant position with Finance & Asset Management.

This position provides clerical an administrative support to the Executive Director & CFO of Finance & Asset Management and the Coordinator. Team player with a high degree of initiative, confidentiality, customer service focus and good communication skills; excellent organizational and problem-solving skills and the ability to meet tight deadlines. Liaising among staff withing and outside the business unit.
DUTIES AND RESPONSIBILITIES: • Provide assistance to the Director with the preparation of budgets, reports, special projects and confidential work; and formulating and signing administrative correspondence; • Manage multiple tasks and priorities for maximum personal and organizational success; Manage communication and information flow for the Director, including inquiries, appointments, correspondence and ensuring follow-up; • Research and prepare background material for meetings, schedule presentations and make any other necessary arrangements including attendance and recording of minutes if required; • Respond to inquiries using tact, judgement and confidentiality; • Supervise administrative support staff; • Support other staff to develop; • Other administrative duties as requested. QUALIFICATIONS: • Grade 12 (or equivalent) and certificate in business training from a recognized educational institution or suitable combination of formal education and experience; • Minimum of three years of related experience at the senior secretarial level; • Proficiency with computer applications for correspondence, budgeting, and presentations (WordPerfect, Lotus, or similar software); • Experience with SAP financial systems; • Excellent knowledge of municipal government and its services; • Knowledge: Thorough knowledge of current, effective office procedures; thorough knowledge of the services provided by Financial Services; general knowledge of Municipal Laws, etc.); general knowledge of the services provided by HRM and the inter-dependencies/relationships between Financial Services and the other business units in HRM. Technical/Job Specific Knowledge and Abilities: • Proficient in the following computer applications: Microsoft Office 2010: Word, Excel, and PowerPoint • Proficient in Report Writing • Exposure to MS Visio, MS Project, and Outlook an asset • Exposure to web content management/publishing, multi-media, social media (Facebook, • LinkedIn, Twitter, RSS, etc.), and electronic document management would be a definite asset. • Familiarity with HRM enterprise applications including SAP, GIS, Livelink, Hansen, and Property Online [POL] would be an asset • Thorough knowledge of administrative/office management practices and procedures, including the establishment and maintenance of filing systems • Knowledge of finance, procurement, and budgeting procedures • General knowledge of Municipal and Provincial legislation relevant to the business unit (i.e., Municipal Government Act [MGA], By-laws, FOIPOP legislation, Collective Agreements, etc.) • Strong customer service skills • Sound knowledge of the geography of the Municipality • General knowledge of HRM services Security Clearance Requirements: Applicants may be required to complete an employment security screening check.

HOURS OF WORK: Monday to Friday, 8:30am - 4:30pm, 35 hours per week.
SALARY: NU04 on the non-union salary scale; $57,338 - $74,205. Salary to be commensurate with related education and experience.
WORK LOCATION: 40 Alderney Gate, 5th floor.
