Job summary
We are recruiting for an outpatient Clerk who shares our vision to be trusted to provide consistently outstanding care and exemplary service to our patients.
The EPU Ward Clerk is responsible for delivering efficient administrative support within the Early Pregnancy Unit, ensuring patient records are accurate, appointments are coordinated, and communication between patients and the multidisciplinary team is effective. The role requires excellent organisational skills, attention to detail, and a sensitive, professional approach when dealing with patients experiencing pregnancy-related concerns.

Main duties of the job
Welcome patients and visitors in a courteous and compassionate manner.
Register patients and update electronic patient records accurately
Answer telephone calls and respond to enquiries, directing calls appropriately.
Maintain confidential patient information in accordance with NHS policies and data protection regulations.
Prepare and organise patient notes, clinic lists, and relevant documentation.
Liaise with consultants, nurses, midwives, sonographers, GPs, and other departments regarding patient care.
Monitor and order office supplies and maintain stock of administrative materials.
Process referrals, test results, and correspondence promptly.
Ensure clinic and ward documentation is completed accurately and filed correctly.
Support the clinical team with general administrative tasks as required.
Maintain a clean, organised, and professional reception and administrative area.

Person Specification
Qualifications & Training Essential
NVQ/Level 2 or 3 in Business Administration, Customer Service or a related subject
Desirable
Good standard of general education, including English and Maths, or equivalent experience
Previous Experience Essential
Experience working in an outpatient, clinic or ward environment
Desirable
Previous NHS, hospital or healthcare administrative experience Experience using computer systems and Microsoft Office
Skills Essential
Good verbal and written communication skills Good organisational and time-management skills Accurate data entry and attention to detail Ability to remain calm and professional when dealing with patients who may be anxious or distressed
Desirable
Ability to work effectively as part of a multidisciplinary team
Knowledge Essential
Basic understanding of administrative procedures, record keeping and appointment systems
