Job Description : Examination Scheduling and Coordination
• Assist in the preparation of examination timetables; • Coordinate with schools/academic departments to collect exam schedules and paper details; and • Update and disseminate finalised schedules to relevant stakeholders.
Examination Venue and Logistics Management
• Prepare seating arrangements and invigilator rosters; • Ensure proper setup and readiness of examination venues; and • Support logistics such as signages, attendance sheets, and examination materials.
Examination Document Handling
• Handle the secure printing and distribution of examination papers; • Track collection and return of answer scripts from invigilators; • Maintain records and ensure confidentiality of all examination documents; and • Qualification verification of graduated students.
Result Compilation and Reporting
• Assist in compiling and verifying examination results; • Ensure accurate data entry into the academic management system; and • Support the preparation of result reports and documentation for the Examination Board meetings.
Student and Faculty Support
• Respond to student queries regarding special requests related to examination sitting and others; • Liaise with schools for issues related to question papers or examination logistics; and • Provide guidance on examination rules and procedures.
Compliance and Quality Assurance
• Ensure examination processes comply with university policies and regulations; • Participate in audits and quality assurance checks; and • Support the head of department in implementing improvements.
Education
• 1. Bachelor's degree in Administration, Office Management, or related field • Knowledge and Experiences
• Min 2 years of working experience in an academic or administrative setting; • Familiarity with examination processes and academic regulations; and • Experience with document handling, filing systems, and record management.

• Excellent organisational and time management skills; • Effective written and verbal communication skills; and • Ability to multitask and work efficiently under pressure.
Technical skills required
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) • Experience with student information or examination management systems • Basic data entry and database management skills

• High attention to details and accuracy in record-keeping; • Ability to maintain confidentiality of examination documents and data; and • Coordination skills to manage scheduling and logistics.
