. Job Purpose Maintain the operational readiness of meeting-room audio-visual and video-conferencing systems. Conduct routine room checks, resolve technical issues, coordinate maintenance and repairs, and ensure meeting spaces are consistently available and ready for use. Key Accountability Areas Meeting-Room Readiness Conduct scheduled checks to confirm that meeting-room technology is operational and ready for use. Test displays, cameras, microphones, speakers, control panels, conferencing equipment, and room-booking devices. Confirm that cables, adapters, remote controls, and other required accessories are available and properly organized. Maintain meeting rooms in accordance with the approved technology setup and operating standards. Prioritize checks for executive meetings, important events, and high-usage rooms. Technical Support Respond promptly to incidents affecting meeting-room and video-conferencing systems. Diagnose and resolve common audio, video, connectivity, control-system, and equipment issues. Assist users with starting meetings, sharing content, connecting devices, and using conferencing platforms. Provide on-site support for important meetings when required. Escalate complex or recurring issues to the appropriate IT team, vendor, or service provider. Maintenance and Coordination Perform basic preventive maintenance and approved equipment resets or configuration checks. Log faults and coordinate repairs, replacements, and technical visits with suppliers and service providers. Monitor open service requests through resolution and confirm that rooms are operational before closure. Support the installation, testing, and acceptance of new or upgraded meeting-room equipment. Coordinate planned maintenance to minimize disruption to room availability. Equipment and Asset Control Maintain an accurate inventory of meeting-room equipment, accessories, and spare devices. Monitor the condition and availability of equipment and report replacement requirements. Ensure that faulty equipment is properly identified, removed from service, and tracked for repair or replacement. Support equipment lifecycle planning by providing information on faults, usage, and recurring issues. Maintain approved room configuration and equipment records. Service Monitoring and Documentation Record incidents, actions taken, escalations, and resolutions in the IT service-management system. Maintain room checklists, equipment records, operating instructions, and troubleshooting guides. Track room availability, recurring faults, response times, and unresolved issues. Provide regular status reports on meeting-room readiness and service performance. Identify recurring problems and recommend practical improvements. IT Standards and Procedures Follow approved IT operational procedures and change-management requirements. Maintain meeting-room systems according to approved configurations and technical standards. Coordinate configuration changes, system updates, and access-related requirements with the relevant IT and Cybersecurity teams. Report unauthorized changes or unusual system behavior to the appropriate team. Role Accountability HR Proficiency: Ability to obtain updated soft and technical skills related to the job. Delivery: Perform the planned activities to meet the operational and development targets as per delivery schedules. Utilize resources effectively to achieve objectives within efficient cost and time. Provide a periodic report formatted by detailing the deviation and execution of planned tasks. Problem-Solving: Solve any related problems arise and escalate any complex operational issues. Quality: Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities. Business Process Improvements: Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible. Compliance: Comply to related policy and procedures and work instructions. Health, Safety, and Environment: Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.
