About the Role

The Systems, Data & Operations Officer plays a critical role in enabling the effective delivery, scalability, and impact of Career Services. This role serves as the operational backbone of the team, overseeing career technology platforms, data systems, reports, communications, and process standardization, while providing targeted support for employer engagement and student-facing initiatives. The position ensures that Career Services operates with strong systems, high-quality data, and efficient processes that enhance student outcomes and institutional effectiveness.

Key Responsibilities

Systems & Platform Management

• Serve as the primary administrator for Career Services platforms, including CareerOS, Big Interview, Focus 2 Career, CAMU, and related systems.

• Lead platform onboarding, training, and ongoing user support for students, staff, employers, and alumni.

• Manage system integrations, troubleshooting, and continuous improvement in collaboration with IT and external vendors.

• Drive platform adoption and optimize usage across all year groups.

Data, Reporting & Analytics

• Lead the collection, analysis, and reporting of Career Services data, including student engagement, program participation, and career outcomes.

• Develop and maintain dashboards, performance metrics, and reporting frameworks.

• Produce high-quality reports for internal stakeholders, including senior leadership and institutional reporting needs.

• Support key institutional reporting processes (e.g., graduate outcomes surveys, internship evaluations, and strategic reports).

• Translate data into actionable insights to inform decision-making and program improvement.

Systems, Processes & Quality Assurance

• Design, document, and maintain standard operating procedures (SOPs) across Career Services functions.

• Ensure consistency, efficiency, and quality across all programs and services.

• Support compliance with institutional and external reporting requirements.

Communications

• Develop and maintain key communication materials such as:

• Career Services guides and handbooks

• Employer engagement materials

• Student-facing resources (e.g., 4-year career development guides)

• Support internal and external communication strategies to strengthen visibility and impact.

Employer Engagement Operations Support

• Provide operational and coordination support for employer engagement activities.

Program & Student Support (As Needed)

• Provide support for career development programs, including workshops, individualized coaching sessions, and events.

• Assist with logistics, coordination, and delivery of student-facing initiatives.

• Contribute to high-impact programs such as career fairs, mentorship initiatives, and experiential learning activities.

Job Qualifications and Skills

• Bachelor’s degree in Psychology, Career Development, Education, Human Resources, or related field. A Master’s degree is an added advantage.

• Strong analytical and data management skills

• High-level proficiency in Microsoft Excel and experience with data visualization tools (e.g., Power BI, Tableau) preferred.

• Experience with digital platforms, systems administration, or operations

• Strong communication, public speaking, and facilitation skills.

• Excellent project management and organizational skills

• Ability to manage multiple priorities in a fast-paced environment

• High attention to detail and commitment to quality

• Collaborative and adaptable with a commitment to student-centered service.
