About this role

Job summary

We are looking for a proactive and detail-oriented Data Quality and Medical Secretary to join our Practice Team within a busy GP practice environment. You will work with a diverse patient population and liaise regularly with GPs, clinicians, hospitals, community services and administrative colleagues to support the delivery of safe and effective patient care. As part of the wider PICS team, you will benefit from a supportive network of healthcare professionals and opportunities to develop your knowledge of primary care systems, data quality processes and medical administration.

Main duties of the job

KEY RESPONSIBILITIES

Maintain accurate patient records by processing clinical correspondence, coding information, summarising records and supporting data quality audits to ensure practice and NHS standards are met.

Manage referrals, patient recalls and information requests, working closely with GPs, clinicians, hospitals and community services to deliver an efficient and responsive patient journey.

Provide comprehensive medical secretarial and administrative support, including managing practice emails, processing online access requests and supporting the effective day-to-day running of the practice.

KEY REQUIREMENTS

Good standard of general education, including English and Mathematics (or equivalent).

Excellent IT, keyboard and communication skills, with the ability to accurately manage data and work to deadlines.

Previous experience in an administrative or customer service environment, with strong organisational skills and the ability to use initiative.

Job description Job responsibilities

KEY RESPONSIBILITIES

To work within a team environment to ensure that all patient records are maintained and accurate.

To download and scan incoming mail on to clinical system and code on to patient records

Receive incoming patient records and summarise these on to our clinical system ensuring all clinical coding is correct.

Manage patient recalls.

Input data into the patients healthcare records as necessary

Processing Online access requests

Manage administrative queries as necessary

Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

Maintain an accurate referrals database

Process referrals using the electronic referral system (ERS) (F12)

Support all clinical staff with general administrative tasks as requested

To provide an efficient comprehensive secretarial service and co-ordinate the doctors appropriately to meet the needs of the service and Doctors.

Manage practice emails in relation to patient records, referrals and requests

To work with the Practice Manager on auditing data collection to ensure practice standards are met.

To deal with all enquiries tactfully and with due consideration of patient privacy

Participating in educational and learning activities arranged from time to time

Supporting practice policies and protocols, including health and safety and infection control

Supporting a drive to greater automation and use of technology

Duties may vary under the direction of the Practice Manager depending on workload and staffing levels.
