We are delighted to offer an exciting opportunity to join Belvoir Health Group as a Practice Administrator.
We are looking for enthusiastic, organised and motivated administrators to join our team on a full-time or part-time basis. The successful candidates will provide essential administrative support across our practices, helping to ensure the smooth and efficient delivery of high-quality patient care.
The role offers a varied range of administrative responsibilities, including processing incoming correspondence, maintaining accurate patient records, summarising medical records and accurately coding clinical information.
We are looking for someone who is highly organised, self-motivated and able to work independently, with excellent attention to detail. Previous administrative experience is essential, and experience within a healthcare or primary care setting would be an advantage.

Main duties of the job
The Practice Administrator will provide administrative support across the practice, with responsibility for maintaining accurate and up-to-date patient records.
Key responsibilities will include:
Processing incoming correspondence and clinical documentation in a timely and accurate manner. Scanning, attaching and accurately coding correspondence to the correct patient record. Reviewing clinical documentation and ensuring relevant information is accurately recorded within the practice clinical system. Assigning appropriate diagnosis and procedure codes in accordance with practice procedures and coding guidance. Summarising new patient medical records to ensure key clinical information is accurately captured and readily available to clinicians. Maintaining accurate and up-to-date electronic medical records in accordance with practice standards. Identifying and appropriately processing information received from hospitals, community services and other healthcare providers. Ensuring all patient information is handled securely and confidentially in accordance with GDPR, NHS requirements and practice policies. Working collaboratively with colleagues across the practice and contributing to the effective running of the administrative team. Undertaking any other appropriate administrative duties required to support the smooth operation of the practice.

Our three sites are located in Cropwell Bishop, Cotgrave and Bingham, providing primary care services to a diverse local population.

Summary - The post-holder will be responsible for providing effective and efficient administrative support to the Partners and other Professional staff.
Responsibilities -
Administration
To have a thorough knowledge of all practice procedures including summarising, private work, deductions, immunisations, scanning and coding and other administrative tasks as required
To work in accordance with written protocols
Accurately retrieving filing of both electronic and paper notes and updating demographic information as necessary
Filing post including scanning test results and clinical correspondence into in medical records
Dealing with incoming post
Computer
Registration of new patients computer data entry and making amendments to medical records
Process patients change of address and other demographic information inputting computer data and medical records, having knowledge of the practice area and data protection protocols
Knowledge of Microsoft Outlook, Word and Excel
messages clearly and accurately

Person Specification
Experience Essential
Previous administrative experience. Experience of working with confidential or sensitive information. Demonstrable ability to work accurately and maintain a high level of attention to detail.
Desirable
Previous experience working within primary care or a GP practice. Previous experience working within a healthcare or NHS environment. Working knowledge of TPP SystmOne. Experience of summarising medical records or processing clinical correspondence. Knowledge and understanding of medical terminology.
Skills & Attributes Essential

Understanding of the role of administration within a GP practice. Knowledge of primary care processes and terminology. Experience of working with clinical systems, particularly TPP SystmOne.
Qualifications & Education Essential
Good general education to GCSE level or equivalent. Good written and verbal communication skills. Ability to work accurately and effectively with written and electronic information.
Desirable
Administration or healthcare-related qualification. Previous training or experience in using TPP SystmOne. Training or knowledge in medical terminology, clinical coding or medical administration.
