Job summary
We are seeking an experienced and professional Executive Assistant to support the Senior Management Team at Manston STHF.
The Executive Assistant will provide executive and administrative support, manage sensitive and confidential information, and ensure the efficient coordination of operational, governance, and communication activities across the facility.
Main duties of the job
We're seeking an experienced Executive Assistant to provide comprehensive administrative and governance support to our Senior Management Team. You'll manage diaries, coordinate and minute meetings, draft polished correspondence and reports, and act as the first point of contact for internal and external enquiries all while maintaining strict confidentiality. The role also supports governance and board meeting administration, accurate record-keeping, and tracking of actions and deadlines, helping the site meet Home Office and NHS compliance and reporting standards. You'll coordinate travel and event logistics, liaise with stakeholders to support smooth operational delivery, and contribute to internal communications. We're looking for someone with strong PA/EA experience, excellent written communication skills, sound judgement around confidentiality and data protection, and the flexibility to work occasional evenings or weekends all delivered in line with DrPA Secure's CARE ethos and commitment to equality, diversity, and inclusion.

Administrative and Executive Support
Provide comprehensive administrative and executive assistance to the Senior Management Team, including diary management, meeting coordination, and minute-taking.Prepare and format correspondence, reports, presentations, and policy documents to a high professional standard.Manage communications, prioritising tasks and maintaining confidentiality at all times.Coordinate travel arrangements, events, and logistics for internal and external meetings.Operational and Governance Support
Support the organisation and documentation of governance, operational, and board meetings.Maintain accurate records, filing systems, and document control in line with data protection and information governance policies.Track actions and deadlines to ensure timely completion of key operational priorities.Assist in the preparation and submission of reports, audits, and compliance documents.Supports achievement of site KPIs by ensuring timely coordination of governance meetings, accurate documentation of operational decisions, and effective communication that enables Senior Management to meet compliance, performance, and reporting deadlines in line with Home Office and NHS standards.Communication and Stakeholder Liaison

Person Specification
Experience Essential
Proven experience as an Executive Assistant, Personal Assistant, or senior administrator. Excellent organisational and time-management skills with the ability to prioritise multiple tasks. Strong written and verbal communication skills. High level of discretion and professionalism when handling sensitive or confidential information. Competent in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work independently and collaboratively in a fast-paced operational environment. Commitment to DrPA Secures values and ethos.
Desirable
Experience working in a secure environment, operational facility, or public sector setting. Knowledge of governance, compliance, or regulatory reporting. Experience supporting senior meetings, preparing reports, and drafting minutes. Familiarity with HR or recruitment administrative processes.
