Job summary
To provide direct line management to administration teams across Neurology and Neurophysiology Services across four sites.
To oversee the co-ordination of , ensuring clinic targets are met.
To be responsible for the day-to-day running of Referral to Treat 18 weeks (RTT) performance and DM01 performance for Neurophysiology.
To be responsible for the day-to-day running of the administration services including ensuring there are robust processes in place to ensure key metrics are maintained e.g. clinic management, cashing-up clinics, RTT, waiting lists and ensure activity is captured to secure contract income.
Awareness of national 18-week referral to treatment (RTT) Policy and local policies to maintain compliance.
To manage workload prioritising as appropriate, ensuring urgent and important tasks are completed within required time scales. To be proactive in the identification of workload issues that affect clinical service provision and with the support of the Deputy Divisional General Manager develop and implement action plans to resolve the issues.
Participate in the process of recruitment and selection of new team members, Raising TRACs, short-listing, interview staff e.g. Supervisors, Booking Clerks, Ward Clerks, Receptionists & Medical Secretaries.
To ensure implementation of all relevant Trust policies within the team e.g., Health and safety, patient confidentiality and medical records policy
Main duties of the job
To support the daily operational and business management of specific specialities across sites.
To ensure that all administrative and clerical duties are completed in a timely fashion
To support the development and implementation of plans for service improvement.
To ensure the required capacity for services and that key performance targets are met.
To ensure that all medical staff rotas are compiled for the needs of the service. Ensure cover is provided in times of absence.
To deputise for the Service Managers (SMs) as appropriate.

Job description Job responsibilities
Training and development of the administration teams in terms of their IT capability, skill mix and their knowledge of the Directorates overall aims.
Supporting service improvement through analysis of data and undertaking analysis of services to support delivery of targets and service improvement and change
Manage all delegated administration, secretarial and specialty/team/service support staff.
Operational Management
Management of administration staff in specialty-based teams ensuring a comprehensive service is provided to users of the service.
Organise additional capacity as required using meticulous planning to ensure that all elements of service provision are considered and organised to enable capacity short-falls are identified in advance to enable re-provision in a timely and organised manner across the service and teams as required, and also flexibility to respond to changes in circumstances.
Review utilisation (of administration staffing) to identify opportunities for improvement and implement change accordingly.
Assist in the co-ordination of medical staff leave and rotas, recommending alterations where necessary.
Keep up-to-date with current policy and the development and introduction of local policies in keeping with national policy.
Effective management of the resources relating to the post holders responsibility.
Ensure that effective lines of communication are established within the post holders areas of responsibility.
Performance Management
In conjunction with the Deputy Divisional General Manager, ensure the delivery of key access targets and other performance indicators, escalating any variances and providing an action plan as required.
Service Planning, Development, Improvement and Strategy
To contribute to the development and implementation of Directorates improvement programme, including taking lead responsibility for initiatives to performance.
Review and develop services, including data collection for the drafting of business plans and development of policies and/or procedures.
Plan and lead service improvement initiatives to improve the quality of the administration service, this will involve reviews of workforce, workload volume, systems and processes and use of technology.
Contribute to the development of the Directorate, this will include developing and implementing plans in line with the national policy to ensure that targets can be achieved.
Use strong analytical skills; diagnose problems within existing processes and effect changes to resolve them.
