Transportation Assistant
Summary: Performs a variety of general office and program support duties required to prepare, process, maintain, and distribute documents and records in the Office of Transportation Services; provides program information to employees and the general public.
Qualifications: Required
• Any combination of education and experience equivalent to graduation from high school or possession of a General Equivalency Diploma (GED) certificate. • Some experience in general office administration. • Advanced degree(s) beyond the minimum degree requirement in a relevant field may be considered for some experience.
• Knowledge of accepted business office practices and procedures. • Ability to operate personal computers and related office equipment. • Proficiency in common administrative software such as word processing, database management, and/or spreadsheet applications, if required. • Ability to work independently. • Ability to maintain confidentiality. • Ability to exercise tact, good judgment, and initiative. • Ability to communicate effectively, both orally and in writing. Preferred
• Experience in a transportation-related capacity.
Major Duties/Essential Functions: • Provides general and specific information to Fairfax County Public Schools (FCPS) employees and the general public on topics related to transportation services. • Receives telephone calls and/or visitors to the office, referring complex inquiries to the appropriate personnel. • Responds to the general public, ensuring adherence to confidentiality of information guidelines. • Composes routine correspondence citing applicable regulations and/or procedures or requesting needed information. • Maintains a calendar of program activities, projects, and meetings. • Schedules appointments for office personnel. • Processes all incoming and outgoing mail. • Assembles information from files, records, and other sources with general instructions. • Determines the need for additional information and secures such information from established files or by contacting FCPS personnel. • May assist with the compilation of data for various statistical and narrative reports, newsletters, memoranda, etc. • Distributes documents. • Assists with the coordination of driver schedule adjustments. • Studies directives and other materials pertaining to the business of transportation services in order to maintain awareness of new or revised procedures for processing transactions. • Performs related duties as required or assigned.
Work Environment/Physical Requirements: This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
