Job summary
An exciting opportunity has arisen for a highly organised and proactive Administrator to join the Brent and Harrow Community Diabetes Specialist Service. This is a full-time role, working 37.5 hours per week, supporting a busy specialist service that provides care to patients across the community.
The postholder will provide comprehensive, high-quality administrative support to ensure the smooth coordination and day-to-day running of the service. This will include managing team diaries and workloads, booking clinics and patient appointments, processing new referrals, maintaining accurate waiting lists and communicating appointment-related information to patients, carers and healthcare professionals.
You will also support the management of the Diabetes Generic Inbox, responding appropriately to written and verbal enquiries, identifying matters that require escalation and ensuring information is processed accurately, efficiently and within agreed timescales.
This role requires someone who can work independently, use their initiative and remain organised while managing competing priorities. You will also support the wider administrative office, provide guidance to temporary staff where required and assist with administrative cover during periods of annual leave or short-term sickness.
We are looking for someone with excellent communication skills, strong attention to detail and a positive, flexible approach to supporting a busy healthcare service.
Main duties of the job
What you'll do:
Manage team diaries, workloads, clinics and patient appointments, maintaining accurate schedules and records.
Process referrals, maintain waiting lists and ensure patient information is managed accurately and within agreed timescales.
Act as a key point of contact for patients, carers and healthcare professionals, providing clear and professional communication.
Manage the Diabetes generic inbox, correspondence and enquiries, escalating issues appropriately when required.
Support the wider administrative function through reception cover, office coordination, staff support and cross-cover for colleagues.
