POSITION TITLE: District Administration- Executive Administrative Assistant REPORTS TO: Assistant Superintendent TERMS OF EMPLOYMENT: 240 contract with benefits according to Siloam Springs School Board policies LOCATION: Siloam Springs School District-Central Office QUALIFICATIONS:
• High school diploma
• Experience working in a professional office setting
• Strong technology skills
• Highly motivated with strong organizational skills; able to coordinate multiple tasks at one time
• Self-starter; able to work independently; organized
• Effective verbal and written communication skills
• Strong telephone and interpersonal communication skills
• Experience with eSchool, and eFinance is desired, but not required
• Experience with CentrySuite is desirable, but not required
• Professional interactions with staff, parents and community members
• Ability to work as a contributing and flexible team member
ESSENTIAL JOB FUNCTIONS:
• Provides comprehensive administrative support to multiple district administrators
• Organize and manage event logistics including registration, invoicing, and catering
• Procure, serve and reset break room for district board meetings and other functions
• Prepares official correspondence including form letters, emails, reports and other materials
• Maintain inventory of office supplies, snacks and materials to support professional development programs and events
• Reconcile PCard transactions through CentreSuite for District Administration and Instructional Coaches
• Ensure accurate coding, documentation and timely expense reporting and tracking
• Utilizes computer programs, pulls data, designs and creates forms, spreadsheets, graphics, database and procedures for information management
• Answers and directs communications for District Administration
• Schedules appointments, maintains multiple calendars for appointments and activities, and performs other administrative and diverse clerical duties
• Assists in the research, scheduling, ordering and tracking of materials and supplies
• Accepts professional job-focused feedback when needed
• Works to deliver and meet district, state and federal timelines and deadlines
• Communicates clearly and effectively
