Qualifications: Bachelor’s Degree Preferred (Accounting, Business Administration). 5 years related business office and accounting experience and/or training
Summary: Performs entry and management of agency billing information, serving as a liaison between the fiscal, child welfare, and other departments; serves as a fiscal generalist with responsibilities assisting with a full spectrum of fiscal office operations (i.e. accounting, budgeting, payroll, accounts payable, accounts receivable, record keeping, financial reporting). Is cross trained and serves as back-up for fiscal roles if needed.
I. Duties:
· Serves as a functional liaison between the fiscal office, child welfare, and other departments to coordinate monthly client data tracking for accuracy and completeness.
· Performs coordination, entry, and management of child welfare client data for monthly billing cycles.
· Assists Fiscal Operations Manager with data reconciliation in support of accurate, timely, and complete monthly billing cycles.
· Is cross trained in accounts payable and serves as a back-up for payable processing, as needed.
· Assist accounts payable with monthly reconciliation of agency credit card statements.
· Assist accounts payable with staff travel reimbursement processing.
· Is cross trained in payroll processing using ADP (or similar) payroll processing software, serving as a back-up for payroll processing, as needed.
· Assist payroll in the bi-weekly review of payroll records and generate 401k matching funds calculations for entry.
· Serve as back-up for the receipting of money, bank deposits, petty cash management/reconciliation, and cash receipt journal.
· Perform a centralized purchasing function for the Ottawa service location, with the possibility of expanding to other service locations
· Assist Chief Financial Officer with periodic funding applications and report submissions.
· Assist Chief Financial Officer with coordination and response to fiscal reviews and audits.
· Perform periodic financial account analysis for the Chief Financial Officer in preparation of financial statements.
· Maintain all fiscal related contracts, vendor, customer, and grant files.
· Perform site visits to agency service locations per supervisor direction.
· Assist employees, vendors, clients or customers by answering questions related to accounts, procedures, and services.
· Actively participate in YSBIV’s Continuous Quality Improvement Program.
· Other duties as assigned.
