East & Central Brighton PCN are seeking an experienced and highly organised Office Administrator to provide operational, administrative, workforce and governance support across the PCN.

Main duties of the job
This is an exciting opportunity for an individual with strong organisational and people skills who enjoys working in a fast-paced healthcare environment and supporting service development.The Office Administrator will be responsible for the smooth day-to-day running of the PCN office environment and administrative functions. The post holder will coordinate office systems, workforce administration, recruitment processes, governance requirements and staff support activities, contributing to a well-managed and compliant organisation.
About us
East & Central Brighton PCN consists of nine GP practices serving the communities of Whitehawk, Woodingdean, Queens Park, Kemptown, Hanover, Lewes Road and London Road. Our multidisciplinary teams work collaboratively to improve patient outcomes and deliver high-quality primary care services across the network.The PCN brings together a multidisciplinary workforce, including Pharmacy, Frailty, Social Prescribing, Health Optimisation, Home Visiting, Mental Health and Engagement teams. These teams include pharmacists, occupational therapists, physiotherapists, nurses, social prescribers, care coordinators and engagement staff.
Together, they support patients through proactive, community-based care, helping to improve access, reduce health inequalities and provide more joined-up support outside traditional GP appointments. Through initiatives such as the Integrated Community Team and weekly Health Hub, the PCN works with practices, patients and partner organisations to promote wellbeing and strengthen links between primary care, community services and the wider local system.

Main Responsibilities
Office and Facilities Management
Oversee the day-to-day operation of PCN office facilities, ensuring they are safe, organised and welcoming. Manage room bookings and coordinate the use of administrative spaces. Liaise with premises providers and contractors regarding maintenance, repairs and service issues. Order and manage office supplies, equipment and resources. Maintain equipment inventories and coordinate servicing, testing and maintenance schedules. Support compliance with health and safety requirements, including fire safety, risk assessments and first aid arrangements. Workforce and HR Administration
Coordinate recruitment processes, including advertising vacancies, arranging interviews and issuing correspondence. Assist with onboarding new staff, preparing offer documentation, induction packs and access requests. Support pre-employment checks, including DBS applications, right-to-work checks, references and employment compliance requirements. Maintain accurate and confidential staff records in line with GDPR, employment legislation and CQC requirements. Monitor annual leave, sickness absence and workforce records, escalating issues where appropriate. Maintain records relating to mandatory training, professional registration, occupational health and staff vaccinations. Support workforce planning, staff wellbeing initiatives and learning and development activities. Assist with the development and maintenance of an annual PCN training programme. Governance and Compliance
Support compliance with CQC standards and PCN governance requirements. Maintain policy, procedure and operational documentation, ensuring version control and accessibility. Assist with internal and external audits and provide evidence and documentation as required. Ensure information governance, confidentiality and data protection requirements are adhered to at all times. Support the implementation and review of policies and procedures across the organisation. Administrative and Operational Support
Organise and minute Board meetings, leadership meetings and other PCN forums. Manage PCN-wide communications, ensuring information is shared effectively with practices and staff. Process staff expense claims and maintain associated records. Act as a key point of contact for PCN staff, practices and external stakeholders. Provide administrative support to service developments, projects and operational initiatives. Provide support covering reception at our weekly Health Hub.Service Support and Improvement
Work with clinical and operational colleagues to support the smooth delivery of PCN clinics. Coordinate resources, space and equipment to support efficient service delivery. Identify opportunities to improve administrative systems, processes and staff experience. Contribute to service improvement projects and the development of efficient ways of working.
Person Specification
Qualifications Essential
Educated to GCSE level (or equivalent), including English and Mathematics.
Desirable
A relevant HR qualification (e.g CIPD Level 3 or equivalent)
Experience Essential
Significant experience in an administrative, office management or operational support role. Experience of managing competing priorities and coordinating multiple workstreams. Experience of maintaining accurate records and administrative systems. Experience of supporting HR or workforce administration processes.
Desirable
Experience of working in primary care Experience of working in a GP practice Experience of supervising staff or coordinating administrative teams.
Knowledge and Skills Essential
Excellent organisational and time management skills. Strong written and verbal communication skills. Ability to work independently and use initiative. High level of accuracy and attention to detail. Experience of minute taking and supporting meetings. Experience supporting recruitment, induction and staff training processes. Good understanding of confidentiality, GDPR and information governance principles. Proficient in Microsoft Office applications, including Outlook, Word, Excel and Teams. Ability to build effective working relationships with a wide range of stakeholders.
Desirable
Experience working within the NHS, Primary Care Network or healthcare environment. Experience using EMIS Web & SystmOne. Knowledge of CQC standards and healthcare governance requirements.
