Job summary
This is an exciting opportunity to work in the fast paced Surgery and Anaesthetics Care Group supporting the Operational Management Team as the SAS Rota Coordinator.
Working on behalf of the Surgery and Anaesthetics Care Group you will take a leading role in the compilation and day to day co-ordination/ops management of the SAS Staffing rotas for General Surgery & Vascular.
The role of the SAS Rota Coordinator is to provide a comprehensive administration service to the Directorates. You will need to ensure compliance with the EWTD and that medical staff are effectively deployed at all times. You will need to liaise on occasion with the rota coordinator for SOS (Surgical Out of Hours service) to ensure all services are adequately covered especially at time of predicted high levels of leave e.g. Christmas and Easter.
The role requires exceptional organisational skills and the ability to perform a wide range of specific duties. The post holder must be competent in spreadsheets, word processing, keyboard skills, communication, organisational and negotiation skills. An ability to understand the need for and to maintain confidentiality is essential.
The post holder will also play an integral part in the development of continued workforce improvement programmes within surgery and anaesthetics and will provide regular review of the effectiveness of these.
We are looking to recruit 1 Full Time and 1 Part Time Rota Coordinators.
Main duties of the job
provide specific support to the Rota Master(s) in all Directorates.
responsible for compiling, disseminating and coordinating all directorate rotas within the Surgical Care Group that fall under your responsibility.
ensurerotas are produced in an accurate manner including work schedules for less than full time Medical Staff in line with guidance from Medical Staffing Team.
Working in conjunction with the Rota Master's and the Medical Staffing Department to ensure that all rota's are compliant with the European Working Time Directive.
liaise with Medical Staffing regarding Locum requests as appropriate and to ensure that the induction process for locum staff is implemented.
Process documentation and correspondence for Senior and Junior Medical Staff to ensure service continuity is maintained.
Ensure that systems and processes in place for the induction of new personnel i.e. induction material, systems access and documentation is readily available.
liaise with Directorate Educational Leads at time of changeover/rotation
Establish and maintain efficient systems ensuring comprehensive records are maintained throughout for recording of annual leave and sickness absence.
Identify potential for utilisation of clinical sessions and maximise resources liaising with departments e.g. booking and elective admissions.

Knowledge and Experience Essential
Extensive knowledge and experience of Senior Administrative procedures and practices GCSE level 4 or above or equivalent level of skills in English Language and Maths Experience OR demonstratable understanding of rota management Experience of Leading an administration team working in a customer facing role Experience of working on own initiative.
