About this role

Job summary

We are looking for an organised, proactive and people-focused Rota Coordinator to join our friendly General Practice Services team.

This is a brand-new role within the service, providing an exciting opportunity to help shape how rota coordination and workforce deployment are managed across our practices. If you enjoy problem-solving, working with people and making a real difference behind the scenes, we'd love to hear from you.

The role is responsible for the production and day-to-day management of effective staff rotas, supporting both clinical and non-clinical teams to ensure services are safely staffed and able to deliver high-quality care to patients.

This can be a challenging role at times, particularly when responding to short-notice absences and service pressures. However, you will be joining a welcoming and supportive team, with experienced managers who are committed to helping you succeed and develop within the role.

Main duties of the job

You will work closely with operational leaders, clinical teams and administrative colleagues to:

*Produce and maintain accurate staff rotas across the service.

*Coordinate annual leave, study leave, training, appraisals and other plannedabsences.

*Manage staffing changes and respond to short-notice gaps in rotas.

*Act as the first point of contact for sickness absence reporting and support arrangements for service cover.

*Attend locality planning meetings and service meetings.

*Develop strong relationships with staff across multiple sites.

*Support the smooth running of services through effective workforce coordination and communication.

Working Arrangements

We recognise the benefits of flexible working, and some remote working will be available. However, this role is centred around supporting people and building strong working relationships across a number of locations.

The successful candidate will therefore be expected to attend DCHS sites and GP practices on occasion, including locations such as Clay Cross Hospital and practices within Bolsover, North Wingfield, Creswell, Langwith and Ripley.

Please carefully consider this requirement before applying, as the role cannot be undertaken entirely remotely.

As the first point of contact for sickness reporting, there will also be a requirement to check for messages and manage sickness calls early in the day. We are open to discussing flexible approaches to working patterns, including split shifts or alternative arrangements where appropriate, provided these meet the needs of the service.

Person Specification

Shortlisting Essential

ECDL or equivalent NVQ 3 in Business Administration or demonstrable experience to same level GCSE Maths and English pass or equivalent Extensive knowledge in all Microsoft packages In-depth working knowledge of Electronic Roster Systems. Preferably Optima/Allocate
