Austin Bridge & Road has an outstanding opportunity for a Dispatch Coordinator at our corporate headquarters in Coppell, Texas. The Dispatch Coordinator is responsible for coordinating outside and inside haul operations between plants, construction field operations and operations management.
Responsibilities:
• Review JWS haul tickets daily to verify carrier, vehicle, job, and ticket information.
• Review and approve Haul Hub tickets to ensure accurate carrier assignment and billing documentation.
• Process trucker invoices, validating quantities, rates, and supporting haul tickets.
• Code, log, scan, and submit invoices to Accounts Payable for processing.
• Enter and maintain dispatching, trucking, vendor, and project data in CMiC.
• Research and resolve missing, unsigned, or disputed haul tickets.
• Maintain trucking rate sheets for jobs, aggregate materials, and milling operations.
• Set up new vendors and maintain required vendor documentation.
• Track insurance certificates for owner-operators and trucking vendors to ensure compliance.
• Coordinate with project teams, vendors, drivers, and accounting to resolve billing and documentation issues.
• Maintain organized records of hauling activities, invoices, contracts, and compliance documents.
• Assist with reporting, cost tracking, and operational administrative support.
• Support daily office operations which include ordering and maintain office and breakroom supplies
• Perform other duties as assigned
Qualifications:
• Bilingual in Spanish preferred
• Ability to work with customers and vendors to identify and resolve and document invoicing and scheduling issues
• Must be efficient, organized and resourceful
• Experience with Haul Hub software preferred
• Excellent verbal and written communication skills
• Excellent interpersonal, negotiation, and conflict resolution skills
• Excellent organizational skills and attention to detail
• Excellent time management skills with a proven ability to meet deadlines
• Strong analytical and problem-solving skills
• Ability to prioritize tasks and to delegate them when appropriate
Physical Requirements:
• Ability to sit at a desk and work on a computer
• Ability to communicate via phone
• Must be able to lift 15 pounds at times
• Must be able to access and navigate each department at the organization's facilities
Requirements:
• High school diploma or GED required; associate degree or equivalent experience preferred
• Experience with construction operations/equipment haul operations and familiarity with DOT regulations
• Proficient with Microsoft Office Suite
• Experience using JWS software
