We're looking for a Recruitment Administrator who loves keeping things organised, enjoys working with systems, and takes pride in getting the details right.

You'll play a vital role in helping candidates, managers and colleagues navigate the recruitment process from vacancy to onboarding.

Role Details

Location: TauntonSalary: £17,098.65 per annum (based off a full time salary of £25,306)Contract: PermanentHours: 25 per week, worked across 4 days

Main duties of the job

You'll play a key role in helping candidates and recruiting managers through the recruitment process by:

Setting up and advertising vacanciesArranging interviews and coordinating candidate communicationsSupporting pre-employment checks and onboarding activitiesPreparing recruitment documents and offer paperworkProviding support and guidance on the application and recruitment processUsing our recruitment system every day to track progress, manage records and support recruitment activity from start to finish.

Job description Job responsibilities

Vacancy Administration and Advertising

Set up approved vacancies and verify key details, including hours, salary, contract type and closing date, before advertising. Prepare adverts and recruitment documents using approved templates. Publish vacancies on internal and external recruitment platforms. Monitor live vacancies and coordinate approved amendments, extensions or closures.

Candidate Communication and Coordination

Support candidates through a range of communication methods including email, telephone and digital systems. Respond promptly to candidates in a polite, clear and compassionate way Send standard recruitment emails and letters in a timely manner Help candidates feel informed, welcomed and treated with respect throughout the process Escalate complex or sensitive enquiries to the Recruitment Lead. Interview and Selection Administration

Schedule interviews and issue invitations through the Recruitment System. Prepare interview packs and associated recruitment documentation. Send interview directions, virtual meeting links and other practical information Update candidate records and recruitment systems accurately. Record recruitment outcomes and maintain accurate records showing what actions have been taken Support recruitment events, open days and attraction activities as required. Pre-Employment Checks and Onboarding Support

Coordinate pre-employment checks, including references, right-to-work, occupational health, and DBS checks where applicable. Monitor outstanding checks and follow up where required. Keep candidates and hiring managers informed about the progress of checks, raising delays, concerns or missing information promptly. Prepare conditional offer letters and contracts using approved templates. Maintain accurate new starter records and personnel files Liaise with HR colleagues, payroll, and other internal teams to support onboarding arrangements Recruitment Systems and Administration

Use the Recruitment System to manage recruitment processes, candidate communications, interview scheduling and recruitment reporting. Ensure documentation is stored securely and in line with data protection requirements. Produce routine recruitment reports and information when requested. Maintain complete, accurate and compliant recruitment records throughout the recruitment lifecycle. Provide wider HR administrative support as required.

Person Specification

Education and Qualifications Essential

Able to demonstrate the literacy, numeracy and communication skills needed for the role Willingness to undertake training relevant to recruitment and HR administration.

Desirable

Level 2 or Level 3 qualification in Recruitment, Business Administration, HR or a related subject. Relevant training in recruitment, administration, or office systems.

Able to engage with a wide range of people professionally Handles sensitive information with discretion and professionalism.

Experience coordinating interviews, meetings or events. Experience contributing to a supportive team culture.

Confident using digital systems and databases to follow processes, keep records up to date, and complete tasks. Plans and manages work effectively, balancing multiple tasks while maintaining accuracy and quality. Uses sound judgement to resolve routine issues and escalate when appropriate. Confident using common office applications, including email, word processing and spreadsheets.

Desirable

Experience using Applicant Tracking Systems, HR systems or recruitment platforms. Experience producing reports, trackers or recruitment information. Confidence checking data, identifying errors and resolving discrepancies. Experience supporting recruitment, onboarding or HR administration activities.
