Join our Administration Team in the Adult Therapies department

This is an opportunity to come and make a difference and be part of the Administration team in the Adult Therapies department at the Royal United Hospitals Bath NHS Foundation Trust.

We are looking for someone who is keen to learn about the different services offered by the department and who is a motivated and highly organised individual with excellent communication skills to provide comprehensive, proficient and efficient administrative support working with various clinical and non-clinical teams within the department, the RUH and community settings.

In this role, you must be able to manage multiple tasks using your own initiative while meeting deadlines. Attention to detail and problem solving skills are key to success in this role.

As the first point of contact for our patients and visitors - both in person and over the phone - you will play a vital role in creating a welcoming and professional experience. That's why a friendly approachable manner is essential for this role.

You will be joining a friendly and supportive team and you will receive comprehensive training and ongoing development to help you succeed and grow in your role.

Main duties of the job

Provide efficient administrative support including appointment booking, referral processing, filing, scanning, and record management. Welcome, identify, and check in patients, ensuring a professional and patient-focused experience. Maintain accurate patient information and update electronic patient records (EPR) as required. Schedule new and follow-up appointments within appropriate timeframes, prioritising urgent referrals. Record patient attendance and clinic activity accurately using Trust systems. Respond promptly and professionally to enquiries via telephone, email, and face-to-face communication. Liaise effectively with clinicians and multidisciplinary teams to support smooth clinic operations. Arrange interpreter services and support patients with communication or understanding needs. Assist in reducing missed appointments by managing clinic capacity and filling vacant slots. Support team objectives through cross-cover, staff training, service improvement initiatives, and adherence to Trust policies and procedures.
