About this role

Job summary

The Podiatry Service at Kidderminster Health Centre is seeking a skilled, wellmotivated Administrative Assistant to join our friendly and dedicated administrative team.

This is a 27hour post, though less hours will be considered for the right candidate, with a minimum of 25 hours.

You will work closely with, and be fully supported by, our experienced administrator within a well established service based at Kidderminster Health Centre.

We are looking for an individual who is self driven, reliable, and able to work effectively both independently and as part of a team. Strong communication skills and a positive, proactive approach are essential.

You will receive full Trust and Service Induction, along with ongoing guidance and supervision from our existing team to help you settle into the role and develop confidently.

Main duties of the job

Each day brings variety and purpose: youll handle and organise incoming and outgoing mail, respond to emails promptly, speak with patients, carers and colleagues over the phone, process referrals, book appointments for the clinical team, arrange home visits, maintain supplies, and carry out a range of general administrative tasks that keep the service running smoothly.

Youll be based in a friendly office setting, working closely with our podiatrists to ensure their clinical day flows effortlessly. From coordinating referrals and appointments to providing practical support throughout the day, youll play a key part in helping them deliver excellent patient care.

Although youll work independently, youll always have guidance from the senior administrator and strong connections with the wider admin team across community podiatry. Its a place where people look out for one another, share knowledge, and collaborate to make the service the best it can be.

Job description Job responsibilities

In this role, you will:

Undertake administrative duties specific to the role eg typing standard keyboard skills required, data inputting, filing, scanning, referral processing, adding appointments to clinicians diaries and home visits.

Add new patient spells and referral on the system in a timely manner.

Answer and deal with telephone enquiries in a professional manner seeking guidance as required, recording details accurately and forwarding to the relevant member of the team in a timely manner.

Process incoming and outgoing mail.

Order and maintain stock supplies.

Prepare for and attend appraisal meetings and participate in any relevant training programmes required by the Trust.

Person Specification

Knowledge Essential

Working knowledge of Microsoft Office; Word; Excel, Outlook.

Experience Essential

Recent, relevant experience in an Administrative/Secretarial/ Reception Role.

Desirable

Previous, relevant NHS experience.

Skills and Abilities Essential

Good organisation skills. Ability to communicate clearly and effectively in English in both verbal and written formats.

Additional Criteria Essential

Qualifications Essential

Educated to vocational level 2 in Business Administration OR Good general education with a minimum of 2 GCSEs at grade 9-4 (*A-C) with good IT skills, or considerable recent NHS administrative experience and will be expected to undertake the relevant level 2 vocational qualification on appointment to post. I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.
