About this role
The Human Resources Officer is responsible for ensuring the efficient and compliant administration of Human Resources processes, guaranteeing adherence to labour, tax and regulatory requirements while providing operational support throughout the employee lifecycle.
This role contributes to the efficiency and effectiveness of HR operations through continuous improvement, critical analysis of processes, administrative automation and the production of reliable HR data to support management decision-making. The role also promotes high standards of quality, compliance and internal customer service.
Key Responsibilities
HR Administration
• Manage all administrative processes related to the employee lifecycle, from onboarding through to termination of employment.
• Prepare and manage employment contracts, amendments, contractual changes and all related HR documentation.
• Maintain accurate, up-to-date and confidential employee personnel files.
• Ensure the accuracy, integrity and confidentiality of data within the Human Resources Information System (HRIS)
Legal Compliance and External Relations
• Ensure compliance with labour legislation, tax regulations, social security requirements and data protection legislation (GDPR).
• Prepare, submit and monitor all mandatory statutory declarations and communications with relevant authorities.
• Monitor legislative changes affecting Human Resources and implement the necessary updates to internal processes.
• Support internal and external audits by ensuring full documentary and procedural compliance.
Time Management and Payroll Support
• Prepare, validate and provide payroll input, including overtime, night shifts, absences, leave, holidays and other payroll variables.
• Monitor working time, attendance, flexible working arrangements, time banks and absenteeism.
• Liaise with internal departments and external payroll providers to ensure accurate and timely payroll processing.
Occupational Health, Safety and Well-being
• Coordinate pre-employment, periodic and ad hoc occupational health examinations.
• Ensure compliance with Occupational Health and Safety (OHS) legislation.
• Support initiatives aimed at promoting employee well-being, occupational health and workplace risk prevention.
Recruitment, Selection and Onboarding
• Support recruitment processes for operational roles, from job advertising through to hiring.
• Conduct CV screening, initial interviews and coordinate onboarding activities.
• Manage relationships with temporary employment agencies and oversee the administration, attendance and legal compliance of temporary workers.
Learning and Development
• Identify training needs in collaboration with business areas.
• Plan, organise and monitor internal and external training programmes.
• Ensure compliance with mandatory training requirements and maintain accurate training records, certificates and reports.
• Support employee development and skills enhancement initiatives.
Funded Projects Management
• Support the application, implementation and administrative management of publicly funded HR projects, such as training programmes and employment incentives.
• Ensure the collection, organisation and maintenance of all documentation required by funding authorities.
• Monitor deadlines, performance indicators and reporting obligations, liaising with external consultants and funding bodies.
HR Reporting and Analytics
• Monitor and analyse Human Resources key performance indicators (KPIs), including absenteeism, turnover, overtime, time banks and training.
• Produce HR reports and analytical information to support operational and strategic decision-making.
• Ensure the accuracy, consistency and reliability of HR data and reporting.
Continuous Improvement
• Identify opportunities to improve HR administrative processes and workflows.
• Recommend and implement initiatives that simplify, digitalise and automate HR activities.
• Contribute to the standardisation of procedures, increased operational efficiency and process optimisation.
• Participate in HR transformation and continuous improvement projects.
Qualifications
• Bachelor's degree in Human Resources Management, Business Administration or a related field.
• Good knowledge of labour legislation, social security regulations and employment law.
• Proficiency in Microsoft Office, particularly Excel; knowledge of Power BI is considered an advantage.
• Experience using Human Resources Information Systems (HRIS).
• Good command of English, both written and spoken.
Experience
• Previous experience in Human Resources roles with a strong operational focus, including HR administration and employee lifecycle management.
• Experience supporting payroll preparation and time & attendance processes.
• Experience coordinating training activities and maintaining training records.
• Experience liaising with external authorities and service providers.
• Experience supporting recruitment and onboarding processes, particularly for operational roles.
• Experience managing HR documentation and ensuring legal and regulatory compliance.
• Experience contributing to HR reporting, data analysis and KPI monitoring.
• Experience in process improvement, digitalisation or automation initiatives is considered an advantage.
• Previous experience in an industrial or manufacturing environment is considered an advantage.
