Description: 2022-2023 School Secretary Attendance/SIS OP
Job Summary:
• Ensure accuracy of data for reporting purposes.
• Submit data to district and State Department of Education (SDE) for state and federal funding.
• Create validation, integrity and response reports as needed.
• Generate comparison reports between SMS and ADE data.
• Work as liaison between schools, district office and SDE as appropriate.
• Provide technical support to school staff as needed.
• Resolve all state reporting issues with district sites.
• Monitor and ensure that student membership attendance and categorizations are accomplished in a timely manner and within state deadlines.
• Direct the establishment, maintenance and support of the district's student information and ensure that membership and attendance data is entered promptly and according to state requirements.
• Coordinate and utilize the software and the SDE PowerSchool reporting system to maintain accurate and timely Average Daily Membership (ADM) and school-by-school Average Daily Attendance (ADA).
• Communicate and coordinate the exchange of data with departments including Special Needs and Teaching and Learning.
• Communicate with school administrators regarding student information data.
• Collect, validate, submit to include SDE recommended submissions, i.e., ELL, SPED, Gifted, Homeless) and verify student information for the SDE on a quarterly basis or as appropriate.
Qualifications:
• High school diploma or equivalent required; Associates degree preferred.
• Three years of related office experience with demonstrated ability for office practices, procedures, and duties relevant to schools and student information/data and PowerSchool.
• Ability to work with a high degree of accuracy when reporting student information to the Department of Education PowerSchool reporting system.
• Ability to use independent judgment in setting priorities and making decisions in absence of specific direction.
• Ability to use standard office equipment including copy machine, printer and fax.
• Ability to use discretion in handling confidential information.
• Strong communication and interpersonal skills for working with the general public and co­workers.
• High level of English proficiency for completing tasks and frequent telephone communication.
Working Conditions: The candidate may work in the front office and must be willing and able to communicate with visitors, students, faculty and staff. Should be able to manage a school office and work effectively in a fast-paced environment. The secretary position could include, but is not limited to departments of attendance, guidance, etc.)
