Role Overview
The Payroll Coordinator (Tax) will be the go-to expert ensuring our payroll tax processes run flawlessly—keeping us compliant with federal, state, and local regulations while supporting our employees with timely and accurate pay. You'll work closely with payroll, HR, and finance teams to manage tax filings, reconcile accounts, and resolve discrepancies, all while identifying opportunities to improve efficiency and reduce risk. The role will use UKG for core HR functions and Viewpoint Vista for timekeeping and project-specific data, while coordinating with HR, union representatives, and project managers.
Key Responsibilities
• Accurately calculate, withhold, and remit payroll taxes for multiple states and jurisdictions.
• Prepare and submit payroll tax payments including social security, unemployment, and disability taxes, ensuring compliance with federal, state, and local laws.
• Prepare and file all required payroll tax returns (monthly, quarterly, and annual) with federal, state, and local agencies.
• Reconcile payroll tax accounts and resolve variances in a timely manner.
• Monitor changes in tax laws and regulations, ensuring payroll processes remain compliant.
• Respond to tax notices and inquiries from government agencies.
• Collaborate with HR and payroll teams to ensure employee records are accurate and up to date.
• Maintain detailed documentation of payroll tax processes for audit readiness
• Payroll Processing: Run weekly multi-state payroll using Viewpoint Vista, reconciling prior to transmission, validating reports, and ensuring compliance with federal, state, and union-specific regulations.
• Timekeeping & Data Management: Extract and verify timekeeping data from Viewpoint Vista and update payroll records for hours worked, overtime, and project-specific pay.
• Union Compliance: Coordinate with the Labor Compliance team to process union-specific pay rules, deductions, and benefits, ensuring adherence to collective bargaining agreements.
• Employee Records: Maintain accurate employee records, including changes in status, benefits, and payroll items.
• Deductions & Benefits: Process employer-paid benefits, taxes, and other deductions; prepare and distribute W‑2s and other tax forms.
• Audit & Verification: Support internal and external audits, verify employment records, and resolve payroll discrepancies.
• Reporting: Generate and distribute payroll reports to management and union representatives; compile summaries of earnings, taxes, deductions, and leave.
• Employee Support: Answer employee inquiries about pay, deductions, and benefits; resolve complaints promptly and professionally.
• Coordination: Work with HR, finance, and project managers to implement payroll changes, handle terminations, and manage new hires.
Required Skills & Qualifications
• High school diploma/GED; college degree preferred (Accounting, HR, or related field).
• 3+ years of experience in payroll tax administration, preferably in a high-volume multi-state environment.
• Strong knowledge of federal, state, and local payroll tax regulations
• Proficiency with UKG (direct or indirect use) and Viewpoint Vista payroll and timekeeping systems highly preferred.
• Experience with Spectrum, and/or Aatrix preferred
• CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) is a plus.
• Excellent attention to detail, confidentiality, and organizational skills.
• Strong communication and interpersonal skills to work with union representatives and diverse employees.
• Ability to work under pressure, meet deadlines, and manage multiple priorities.
• Manual dexterity for computer use; ability to deliver presentations if needed.
Work Environment
• Hybrid - in the Downtown Houston office 4 days a week, work remotely on Fridays.
• May require extended hours to meet payroll deadlines.
