is seeking a Virtual Scheduler to manage appointment scheduling, coordinate client communications, and ensure smooth calendar operations. This role requires excellent communication skills, strong organizational abilities, and the capacity to work independently in a remote environment aligned with US business hours.
The ideal candidate is detail-oriented, proactive, and able to juggle multiple scheduling requests while maintaining a professional and friendly demeanor with clients and team members.
Key ResponsibilitiesAppointment Scheduling & Calendar Management:
Schedule, reschedule, and cancel appointments based on client and team availabilityManage calendars for one or multiple team members, ensuring no conflicts or double-bookingsSend appointment confirmations, reminders, and follow-up communicationsCoordinate scheduling across different time zones when necessaryClient Communication:
Serve as the primary point of contact for scheduling inquiries via phone, email, and/or chatRespond promptly and professionally to client scheduling requestsHandle last-minute changes, cancellations, and urgent scheduling needs with grace and efficiencyMaintain a friendly, helpful tone in all client interactionsAdministrative Support:
Maintain accurate records of appointments and client interactions in scheduling software/CRMPrepare daily/weekly schedule summaries for relevant team membersCoordinate logistics for virtual or in-person appointments (sending meeting links, addresses, etc.)Flag scheduling conflicts or issues proactively and propose solutionsProcess & Operations:
Follow established scheduling protocols and standard operating proceduresIdentify opportunities to improve scheduling efficiency and client experienceEnsure all scheduling data is up-to-date and organizedAssist with other administrative tasks as needed to support team operationsRequirements
Required QualificationsExperience & Skills:
2+ years of experience in scheduling, administrative support, customer service, or related rolesStrong verbal and written communication skills in English (mild accent acceptable)Excellent organizational skills and attention to detailAbility to manage multiple calendars and competing priorities simultaneouslyComfortable using scheduling software, calendar tools (Google Calendar, Outlook, Calendly, etc.), and CRM systemsProfessional phone manner and customer service mindsetWork Environment:
Reliable high-speed internet connection and professional home office setupAbility to work US business hoursComfortable working independently in a remote settingMust be available for video calls and team meetings as neededPersonal Attributes:

Preferred QualificationsExperience scheduling for service-based businesses (healthcare, beauty, wellness, consulting, etc.)Familiarity with appointment scheduling platforms (Acuity, Calendly, SimplyBook.me, Jane App, etc.)Experience working remotely for US-based companiesBilingual (English/Spanish) is a plus but not requiredBased in Latin America for optimal timezone alignment
