About this role
The Academic & Operations Coordinator serves as a key liaison between academic stakeholders (faculty, operations, internship & project partners) and operational teams (program delivery, administration, logistics, and support functions). This role ensures seamless coordination, effective communication, and efficient execution of academic programs and related operations. Fluency in Arabic and English is essential to support Arabic-speaking partners and initiatives (French is a plus).
Key Responsibilities Academic Coordination Act as the primary point of contact between academic staff, operations, internship dept and project partners (project partners meaning us in Sommet and the KSA clients, such as Boutique) Support the planning, coordination, and delivery of academic and operations logistics, and monitoring/tracking of candidates progressions. Coordinate academic calendars, schedules, materials, and documentation Support operations and academic partners with administrative and operational needs Liaise with Arabic-speaking clients and students
Operational Coordination Coordinate operational processes related to academic activities (logistics, onboarding, documentation, reporting) Collaborate with project and program teams to ensure smooth execution of academic initiatives Track operational milestones, deliverables, and timelines (including active support with the internship department) Maintain accurate records, databases, and reporting relevant to academic and behavioral operations Identify process improvements to enhance efficiency and quality of delivery
Communication & Stakeholder Management Facilitate clear and effective communication between academic & operations teams, as well as third party stakeholders. Translate or support communication in Arabic and English as needed (written and verbal) Prepare and or circulate briefings, reports, presentations, and meeting summaries Support relationship management with all involved stakeholders
Quality & Compliance Ensure compliance with internal policies, academic standards, and Swiss regulatory requirements where applicable Support quality assurance processes and continuous improvement initiatives Assist with audits, evaluations, or accreditation-related activities if required
Required Qualifications & Skills Fluency in Arabic and English (spoken and written) French is also welcome Experience in a coordination, program management, or operations role Exposure to academic, educational, or internship placement environments Strong organizational and multitasking skills Excellent communication and stakeholder management abilities Ability to work across cultures and navigate complex organizational environments Able to manage problem solving with efficiency and promptness with diplomacy skills at all times
