We are looking for a Rota Coordinator to join our team at Long Lee Surgery, on a full-time basis. This is a pivotal role supporting our clinical teams by coordinating clinician rotas, managing leave and cover arrangements, and ensuring our practices have the right clinical capacity to deliver outstanding patient care.

Working closely with Clinical Team Leads and senior stakeholders, you will use your planning, communication and organisational skills to ensure clinicians have accurate and consistent rotas while proactively resolving scheduling challenges.

Main duties of the job

As a Rota Coordinator, you will play a key role in ensuring our clinical workforce is effectively scheduled to meet patient demand. Working closely with Clinical Team Leads, you will coordinate clinician rotas, manage leave and session changes, arrange additional cover where required, and maintain accurate rota information across our clinical systems.

You will be the first point of contact for rota-related queries, helping to resolve issues quickly while maintaining clear communication with clinicians, managers and wider teams. Your proactive approach will help identify capacity issues, support workforce planning and contribute to the smooth delivery of safe, high-quality patient care.

Key responsibilities include:

Coordinating and maintaining clinician rotas using clinical systems including SystmOne or EMIS. Applying standard clinical sessions, agreed leave schedules and approved session amendments. Identifying rota gaps and arranging internal cover or approved locum support where required. Acting as the first point of contact for rota queries and scheduling requests. Working collaboratively with Clinical Team Leads and senior stakeholders to resolve scheduling challenges. Maintaining accurate rota records and supporting workforce planning through effective reporting and monitoring. Developing and maintaining Standard Operating Procedures (SOPs) relating to rota coordination. Supporting GP trainees and students by ensuring placement rotas are prepared accurately and on time.
