An exciting opportunity has arisen for a Medical Recruitment Administrator to join our busy Medical Workforce Recruitment Team.

This is a key administrative role supporting the recruitment of medical and dental staff across the University Hospital of Tees group. You will help ensure a high-quality, responsive recruitment service, supporting the timely appointment of doctors and contributing to safe staffing and service delivery.

We are looking for a motivated individual with excellent organisational skills, attention to detail and a strong customer-focused approach. Experience in recruitment or HR administration is desirable.

Main duties of the job

As a Medical Recruitment Administrator, you will support the Medical Recruitment Officers in the provision of an end-to-end recruitment process for medical staff, ensuring that all processes are completed accurately and within required timescales.

Key responsibilities include:

Coordinating recruitment processes for medical and dental staff, including Consultants, SAS and Resident Doctors. Supporting the advertising of vacancies, arranging interviews and assisting panels. Processing pre-employment checks, including right to work, DBS, references, occupational health clearance and professional registration. Maintaining accurate records on systems such as TRAC, ESR and NHS Jobs. Liaising with managers, candidates and external agencies. Supporting rota teams to help ensure staffing gaps are filled in a timely manner. Providing a high-quality, customer-focused service to all stakeholders.

Person Specification

Qualifications Essential

GCSE's A-C (Maths & English) or equivalent qualification or experience NVQ 2 in Business Administration or equivalent experience.

Experience Essential

Experience of working in a recruitment or HR administration role. Experience in organising and prioritising own workload to ensure deadlines are met. Experience of using Microsoft Office packages including Word and Excel and use of computerised HR systems to develop efficient ways of working. Experience of using electronic systems such as Trac, NHS jobs, and ESR. Experience of working with Medical and Dental staff in a recruitment or HR function. Experience of working in a busy, professional and confidential environment.

Knowledge and skills Essential

Ability to organise and prioritise own workload to meet strict deadlines. Capable of working within a changing organisation. Working knowledge of Terms and Conditions of employment for medical and dental staff and a general understanding of the different grades of doctors and their responsibilities. Working knowledge of medical recruitment and selection procedures, including NHS Employment Check Standards and protected characteristics. Working knowledge of visa requirements and right to work requirements Working knowledge of the Data Protection Act and Information Governance standards. Communicates in a clear and concise manner in the language of the audience and checks that communicated messages have been received and understood. Produces timely and accurate work in line with the Key Performance Indicators. Ability to understand the importance of the recruitment data to ensure key performance indicators are achieved and to provide an efficient Medical Recruitment Service. Seeks, applies and shares knowledge both internally and externally by making use of the knowledge and experience of other team members and colleagues in order to improve performance. Builds and manages internal and external stakeholder relationships and exceeds expectations by accurately assessing needs and ensuring delivery of requirements.
