Wem & Prees Medical Practice is looking for a motivated and reliable Administrator to join our supportive team based at our Prees Surgery on Whitchurch Road for 16 hours per week.
This is far more than a typical office administration role. You will play an important part in helping patients access the care they need while supporting our clinical and administrative teams with a wide range of essential tasks.
You'll be someone who enjoys keeping things organised, likes solving problems and takes pride in getting the details right. Every day brings something different. One moment you could be arranging appointments for patients, the next you might be supporting childhood immunisation clinics, running searches on our clinical system or helping ensure patients receive important reviews and follow-up care.
Working alongside a friendly and experienced team, you'll become an important part of the practice, helping to keep services running smoothly behind the scenes. Your work may not always be visible to patients, but it plays a vital role in ensuring they receive timely care and support when they need it most.

Main duties of the job
As part of our administration team, you'll be involved in a wide range of duties that help support both patients and clinicians.
A large part of the role involves contacting patients by telephone, text message or letter to arrange appointments and invite them to important reviews, clinics and health checks. You will also support our childhood immunisation programme by helping to identify eligible patients and arrange appointments.
You will respond to administrative clinical tasks generated by doctors, nurses and other healthcare professionals, ensuring information is processed accurately and actions are completed efficiently. Using EMIS Web, you will run searches and reports to identify patients who require follow-up, reviews or other interventions, helping the practice deliver safe and effective care.
The role also includes supporting the patient deduction process when patients move to another GP practice, maintaining accurate patient records and helping ensure information is up to date.
In addition, you will manage and monitor a variety of dashboards, including those relating to nurse reviews, newly registered patients and other key areas of clinical activity. These dashboards help us keep on top of patient care and ensure nobody falls through the gaps.
Alongside these responsibilities, you will provide general administrative support and be an active member of a busy team where flexibility, teamwork and a willingness to help are highly valued.

Main Duties and Responsibilities
Contact patients by telephone, text message and letter to arrange appointments and clinics.Send invitations for annual reviews, health checks, screening appointments and other clinical services.Support the childhood immunisation programme by identifying eligible patients and arranging appointments.Action and respond to administrative clinical tasks generated by GPs, nurses and other healthcare professionals.Use EMIS Web to run searches, reports and patient recalls as directed.Support the patient deduction process when patients register with another GP practice.Maintain accurate and up-to-date patient records in line with practice procedures.Monitor and manage nurse review dashboards to ensure patients are invited and followed up appropriately.Manage and update new patient dashboards and associated administration processes.Monitor a range of practice dashboards and worklists to support quality and performance targets.Process incoming and outgoing correspondence as required.Ensure patient information is handled confidentially and in accordance with GDPR and practice policies.Identify and escalate any concerns, errors or queries to the appropriate member of staff.Work collaboratively with clinicians, reception teams and colleagues across the practice.Provide administrative support for clinical services, projects and practice initiatives.Undertake general office duties including data entry, filing, scanning, document management and record maintenance.Contribute to the smooth day-to-day running of the practice.Participate in team meetings and mandatory training as required.Maintain an excellent standard of customer service when dealing with patients and colleagues.Support the practice with additional administrative duties appropriate to the role.
Person Specification
Experience Essential
Good organisational skills and attention to detail. Excellent communication and interpersonal skills. Confident IT and keyboard skills. Ability to prioritise workload and meet deadlines. Ability to work accurately in a busy environment. Strong team-working skills. Professional, reliable and flexible approach to work.
Desirable
Previous administration experience. Experience working in a healthcare or NHS setting. Knowledge of EMIS Web. Experience using patient databases or clinical systems. Understanding of confidentiality and data protection requirements.
Qualifications Essential
GCSE Grade C/4 or above (or equivalent qualification) in English Language. GCSE Grade C/4 or above (or equivalent qualification) in Mathematics.
Desirable
NVQ Level 2 or Level 3 in Business Administration or equivalent qualification. Further administrative, customer service or IT-related qualifications.
