Job summary
JOB SUMMARY
To work as part of the clinical support services team to contribute to the delivery of a comprehensive and effective medical administration service across the Emergency Division.
To provide a comprehensive high quality secretarial and administrative support to the Triumvirate, Consultants and Senior Managers as appropriate.
To prioritise and act on own initiative to deal with matters which arise in support of the Triumvirate, Consultants and Senior Management Team.
Main duties of the job
Act as main point of contact for the medical staffing within the Emergency Division for all staff, partners and members of the public.
Exchange information with patients and staff for appointments, verbally and in writing
Read all post, answer telephone calls and email correspondence for medical staffing and Senior Managers as appropriate. Redirect and delegate all matters that do not require the personal attention of the Triumvirate, Senior Managers or Consultants. Track and chase responses to a timely conclusion. Respond on behalf of the Senior Managers where possible and appropriate.
Set up meetings involving a wide range of senior staff in the Trust as well as partner organisations and other stakeholders.
To provide a comprehensive medical and administrative typing service to a multidisciplinary team.
Arrange, prepare and attend meetings ensuring that papers and agenda are prepared and circulated, taking minutes and monitoring follow up action as required

Person Specification
Education/ Qualifications Essential
Knowledge of a range of office/ secretarial procedures to RSA3 or equivalent. Computer literate with a good working knowledge of Microsoft Office and other software programmes. GCSE or equivalent in English Grade C or above.
Desirable
Knowledge and understanding or medical terminology.
Knowledge, Training & Experience Essential
Ability to work calmly under pressure, processing high volumes of work whilst maintaining accuracy. Ability to sustain concentration e.g. when transcribing audio recording or typing complicated medical documents. Ability to plan and organise own time
Desirable
Previous experience of working in a health care environment. Experience of establishing and maintaining systems e.g. setting up paper based and electronic filing.
Communication and Interpersonal Skills Essential
Good communication skills, both written and Oral Flexible approach and ability to adapt to change and develop new skills within the role. A team orientated approach and the willingness to provide cover for colleagues to ensure that a consistent high quality service is maintained. Ability to remain calm when dealing with aggressive or upset patients or members of the public. Ability to communicate professionally and confidently with all grades and disciplines of staff.
Other Requirements Essential
Good understanding of confidentiality requirements. This role requires the post holder to undertake word processing and inputting for a substantial proportion of the time. Emotional resilience is required, as occasionally that letters typed may contain information of a distressing nature.
