About this role
Smartland, a Northeast Ohio real estate and property-management firm trusted here since 2008, is launching a new pest control company, and we’re hiring the person who will run its office. You’d be an early, foundational hire in a brand-new business, with the stability and backing of an established parent company behind you. What you’d actually do
This is the office. You’d own it. On any given day that means:
• Booking jobs, building the daily schedule, and keeping our technicians moving efficiently.
• Answering the phone, turning callers into booked appointments and calming the occasional worried customer.
• Invoicing, taking payments, following up on what’s owed, and keeping our books clean in QuickBooks.
• Running our scheduling/CRM software and keeping customer records accurate.
• Ordering chemicals and supplies so the trucks are never short.
• Keeping us on top of the boring-but-critical stuff: licenses, insurance, and renewals.
• Handling light HR as we grow: onboarding new hires, tracking time off, and helping put simple policies and procedures in place (handbook, PTO, safety).
• Sending a simple weekly rundown to the owner so we always know where we stand.
Who we’re looking for
• You are genuinely in love with checklists, spreadsheets, and a well-kept calendar. A checked-off list and a tidy schedule make your day. This is the most important thing on this list.
• You’ve run the office of a small service business before, pest control, HVAC, plumbing, landscaping, cleaning, electrical, or similar.
• You know QuickBooks and you’re comfortable with invoicing, payments, and chasing down what’s owed.
• You’ve used scheduling or dispatch software (GorillaDesk, FieldRoutes, Jobber, Housecall Pro, ServiceTitan, or you learn software fast).
• You stay calm when three things need you at once, and nothing falls through the cracks on your watch.
• You’re warm on the phone but not afraid to ask a customer to pay their bill.
• You’re trustworthy, you’ll see payroll and bank access, and we need to count on you completely.
Fair warning: At first this will be hectic and a little disorganized, and it'll be on you to sort out the chaos and build proper order from the ground up.
