Job summary

ABOUT THE ROLE

We are looking to recruit a receptionist to join our team experience is preferred but not essential as training will be given. You will be responsible for maintaining a high level of quality reception service to visitors and ideally will bring NHS experience to the practice.

Experience of SystmOne is desirable but not essential as training will be given.

Work Pattern:

22 hours per week

Tuesday: 12:30 18:30

Wednesday: 12:30 18:30

Thursday: 14:30 18:30

Friday: 12:30 18:30

Main duties of the job

KEY RESPONSIBILITIES

You will respond to all requests by patients requiring appointments with membersof the clinical team, ensuring adherence to practice protocolsfor booking appointmentsand signposting to alternative services as appropriate

You will explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuringprocedures to add these patients to the clinical system are completed.

You will be able to useyour own judgment and communication skillstoensure that patients with no priorappointmentbut who need urgent consultation are seen in a logical and non-disruptive manner

KEY RESPONSIBILITIES

Reception Duties

Work as part of the reception team to provide an efficient, courteous, and timely reception service to all patients either face to face or on the telephone, responding appropriately to all queries and requests for assistance from patients and visitors.

Use the practice computer system to make and monitor patient appointments for all members of the Primary Care Team.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure that all registration procedures are completed.

Advise patients of all relevant charges for private services, accept payment and issue receipts for same.

Enter requests for home visits onto computer system, including all relevant information, referring to the On Call doctor where necessary.

Receive and process requests for repeat medication in accordance with practice guidelines and timescales.

Ensure that all messages are recorded accurately and passed on to the appropriate person as soon as possible.

Deal with patient complaints in accordance with the Practice Complaints Procedure, liaising with the Practice Manager as appropriate.

Ensure that patient confidentiality is always maintained.

Ensure that the reception and waiting areas are always kept neat and tidy.

Maintain, update, and monitor computerised records

Accurately enter the practice computer system data supplied by patients and members of the primary care team as appropriate.

Ensure all new registrations are entered onto the database.

Update database for all patient change of registration status, as such change is advised.

Ensure all transfers of registration database are effected as and when applicable.

Monitor accuracy of registration database as required.

Process incoming and outgoing correspondence

Receive and process incoming and outgoing correspondences as appropriate in accordance with practice procedures, including the scanning and indexing of paper items into the practice computer system.

Ensure third party requests for patient information are processed in accordance with practice procedures, photocopying historical records as required.

Maintain, retrieve, and file paper based patient records

Retrieve and file historical paper-based records as periodically required, ensuring that records are always kept neat and tidy and in good repair.

Assist with the sorting and processing of medical records received for new patients, ensuring that they are presented and maintained in accordance with practice requirements.

Liaison

Maintain effective liaison with other agencies and staff concerned with patient care and with all other disciplines within the practice, with appropriate regard to confidentiality.

Promotion of online services to patients

Have a good, up to date working knowledge of services that are available to patients online and maximise opportunities to promote those services to patients as appropriate

Other Duties

Carry out any additional tasks as requested by the partners, Practice Nurses or Practice Manager/Assistant Practice Manager/Reception Manager from time to time.

Always work safely and help to ensure that all team members are compliant with the requirements of CQC, Infection Control and Health & Safety legislation. Make recommendations to the Reception/Assistant/Practice Manager for improvements as and when identified
