The future is exciting. Are you ready to join Primary Care Sheffield (PCS) and are team as a Receptionist within our Extended Access Hubs and Sexual Health Clinics

Growing collaboration within health and social care in Sheffield provides PCS with a wide range of working-at-scale opportunities which can improve patient pathways and reduce cost.

You will work closely with our Clinical Teams to ensure our patients are treated with respect and directed into our clinics safety

This is a responsible, varied and challenging role, suitable for someone who works well under pressure, is self-motivated and can multitask, whilst still working to an extremely high standard.

Main duties of the job

Job Summary

To be the first point of contact for patients and families and service users in a clinical environment and to provide an efficient and effective patient reception/administration function within the primary care settings

Main Duties and Responsibilities

Provide a positive and welcoming environment in Front of house services, meeting and greeting patients coming into the sites.

Respond appropriately to verbal complaints and refer any unresolved issues to support/operational management, Providing Complaints process information when necessary.

Send out reminders to patients for up-and-coming appointments

Contact patients to provide feedback on our services in various ways

Carry out a variety of clerical duties as and when required i.e. scanning, filing, faxing and photocopying.

Chaperone for a clinician if requested.

Act upon requests to follow up patients i.e. liaise with other agencies, secondary care, patients, families and carers on the practices behalf

Shared responsibility for reception, waiting room and consultation rooms upkeep and tidiness including leaflets and posters.

Reporting of faults, equipment breakdown or failure, building maintenance to operations manager / On call

Be aware of Health & Safety policies and procedures and report any occurrences of incidents to management, using the incident reporting procedure.

Opening and securing of premises as required.

Escalation of concerns to the Operational Manger as required

Ensure you are consistently up to date with site specific requirements, e.g. Emergency drug checks at Fairlawns Medical Centre / Additional samples collections at Darnall Primary Care Centre

General

The post holder will:

Be expected to undertake any other duties as required which are commensurate with the post.

Ensure that all duties are carried out in line with PCS policies and procedures.

Travel to other PCS sites to provide cover where required, Site change could be requested at short notice in the event of adverse weather conditions / Buildings closure etc

Person Specification

Qualifications Essential

GCSE or equivalent English and Maths at grade C or above

Desirable

Receptionist or Medical Terminology Qualifications Chaperone trained

Attributes Essential

Approachable and helpful Have flexible approach to work Trustworthy Able to multi-task and remain calm when faced with conflicting priorities Ability to work well with other members of the practice team

Experience Essential

Experience of working in a reception environment dealing with patients/general public in person and by phone

Desirable

Previous experience of working within the NHS Previous experience of working in a GP practice IT experience using Microsoft Office and E-mail

Knowledge & Skills Essential

Knowledge of office/reception procedures Good understanding of equality & diversity Excellent organisational skills Excellent communication skills Methodical approach to work Excellent interpersonal skills Excellent keyboard skills

Desirable

Clinical System Use (SystmOne/ EMIS)
