POSITION PURPOSE:
The Administrative Assistant contributes to True West Beef's success by providing high level administrative support to plant leaders. Accountabilities will be varied and require a highly organized, detail-oriented individual who thrives in a state of multi-tasking and possesses a keen ability to prioritize and follow through. Equally important for success are excellent interpersonal skills, and the ability to communicate with a diverse scope of internal and external customers.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Coordinate plant communications, including taking calls, responding to emails, and interfacing with customers and other business partners.
• Compose and prepare correspondence, reports, and presentations. Must be able to produce professional correspondence, free of grammatical and spelling errors, using the latest technology and computer programs.
• Coordinate and carry out a variety of company events, including team meetings, company celebrations, and customer events, including events that occur outside of normal business hours.
• Prepare and distribute minutes for various management meetings.
• Manage plant logistics, purchase of equipment, office supplies, off-site storage, etc.
• Maintain an organized filing system of paper and electronic documents.
• Establish and maintain a high level of professionalism among team members and business contacts, and uphold a strict level of confidentiality.
• Assist with general office errands, support and assistance with various administrative tasks and projects as needed.
• Provide front desk reception.
• Assist with processing of incoming and outgoing mail and deliveries, as well as other typical administrative duties including filing, copying, scanning and faxing.
• General office organization such as tidiness and upkeep of common areas, kitchen and conference rooms.
• Manage other projects and duties as assigned.
• Maintain a positive attendance record by demonstrating consistent and punctual attendance on a regular basis.
REQUIRED QUALIFICATIONS:
• 5+ years of administrative experience supporting senior level managers.
• Exceptional interpersonal skills; friendly and professional demeanor; ability to handle confidential and stressful situations in a fast-paced environment. Continually demonstrate poise, tact, positive attitude, and diplomacy.
• Excellent written and verbal communication skills, with demonstrated ability to produce executive level correspondence.
• Strong organizational, project management and problem-solving skills, with impeccable multi-tasking abilities. Able to manage and complete several concurrent tasks.
• Advanced Microsoft Office skills, with an ability to become familiar with new programs and software as needed.
• Bilingual in both English and Spanish (speaking and writing) preferred
EDUCATION:
• College degree or equivalent professional level experience preferred
