Overview We are seeking a detail-oriented and highly organized Digital Assistant (Virtual Assistant) to support a fast-paced, NYC-based sales team. This role is heavily focused on data management, Excel reporting, and administrative support, making it ideal for someone who thrives in structured environments and enjoys working with systems, processes, and accuracy-driven tasks. The ideal candidate is proactive, reliable, and comfortable handling high volumes of data across multiple platforms. Key Responsibilities Data Management & Reporting ● Manage and maintain Excel spreadsheets for reporting, tracking, and data organization ● Ensure accuracy and consistency across all data inputs and outputs ● Pull and compile reports from internal systems (e.g., ATS, order tracking systems) ● Organize and structure large datasets for easy access and analysis Order & System Management ● Validate order files and ensure all data is accurate and complete ● Assist with line creation and product setup across platforms such as NuOrder and JOOR ● Support retailer setup processes, including templates and onboarding documentation ● Assist with drop ship setup and account onboarding workflows Audits & Quality Control ● Conduct retailer website audits to ensure product listings, pricing, and imagery are accurate ● Identify discrepancies and ensure corrections are made promptly ● Maintain high standards of data integrity across all systems Administrative Support ● Own and maintain copy documents and retailer setup templates ● Organize and manage shared folders, files, and documentation ● Provide ad hoc administrative support to the sales team as needed Requirements Core Skills ● Strong proficiency in Microsoft Excel / Google Sheets (formulas, filtering, data organization) ● High attention to detail with a focus on accuracy ● Strong organizational and time management skills ● Ability to work independently and follow structured processes Experience ● Previous experience in a data-heavy administrative, operations, or virtual assistant role ● Experience working with order management systems, CRMs, or e-commerce platforms is highly preferred ● Familiarity with platforms such as NuOrder, JOOR, Shopify, or similar is a plus Communication ● Excellent written and verbal English communication skills ● Ability to communicate clearly and professionally with internal teams Working Requirements ● Available to work full-time (9:00 AM – 5:00 PM EST) ● Reliable internet connection and a suitable remote work setup ● Comfortable working in a fast-paced, deadline-driven environment Ideal Candidate Profile ● Detail-oriented and process-driven ● Comfortable working with repetitive, structured tasks ● Proactive and able to take ownership of responsibilities ● Tech-savvy and quick to learn new systems
