Responsibilities:
? Provide administrative and legal secretarial support to real estate law professionals.
? Review, edit, format, and transcribe a variety of legal documents.
? Compare documents using Litera Compare.
? Update client lists.
? Perform photocopying, printing, and document scanning.
? Monitor internal and external calls and initiate conference calls as required.
? Manage lawyers' calendars and email correspondence.
? Open new files and ensure ongoing administrative follow-up.
? Enter and update information in OnePlace.
? Coordinate travel arrangements and book hotels, restaurants, vehicles, and meeting rooms.
? Organize meetings, videoconferences, and client meetings, including catering arrangements.
? Prepare conflict search requests and follow up as required.
? Perform daily time-entry follow-up, as well as weekly and monthly reviews.
? Prepare monthly billing.
? Prepare expense reports, cheque requests, and trust account bank transfer requests.
? Prepare presentation materials as required.
? Maintain filing, reminder, and records management systems.
? Collaborate with other legal professionals, legal assistants, students, and articling students as required.
? Commission affidavits and administer oaths for lawyers and clients.
What you will need to succeed:
? Diploma in Legal Secretarial Studies or an equivalent qualification.
? 7 years of experience in a private law firm supporting one or more legal professionals, ideally including a partner.
? Bilingual in English and French to support clients in both languages.
? Excellent verbal and written communication skills.
? Knowledge of legal procedures and practices.
? Proficiency with Microsoft Office and standard office software.
? Strong organizational skills with the ability to manage multiple priorities.
? Ability to work independently with minimal supervision.
? Strong team player.
? Exceptional attention to detail.
