About this role

Job summary

We are looking to appoint a full time Research Reception Administrator, on a 1 year fixed term contract, working within the Commercial Research Delivery Centre (CRDC), to provide an efficient reception service to patients and all visitors arriving for Research Clinics at the Health & Wellbeing Centre.The successful candidate will be able to demonstrate good communication and organisation skills and ensure robust and open contact with all Research Clinic service users. The ability to register patients accurately, using the appropriate Royal Cornwall Hospitals NHS Trust systems and to act as an intermediary between patients, relatives, nursing and medical staff in the Research Clinics would be a distinct advantage.

The successful candidate will be an experienced administrator, with excellent interpersonal skills with the ability to build a rapport with patients and staff alike.

On occasion, weekend working will be required to cover Research Clinics, and this will be on a rota basis and factored into the contracted hours.

This is a 1 year fixed term contract, working 37.5 hrs per week. Secondments would be considered.

Main duties of the job

To receive, advise and direct all patients, visitors and members of staff. Working mainly without supervision.

To be aware of the need for confidentiality.

Validate and input accurate data about the service making sure all systems are updated

To register, admit and discharge patients accurately onto the the relevant Systems

To answer telephone calls promptly and give assistance to callers including patients, carers, colleagues and all Research Clinic visitors.

To action requests for case notes, and administer patient hospital notes, filing reports etc as appropriate in line with Trust policy and procedures.

To provide cover for other members of the team as requested by the Research Delivery Manager/Team Leader.

Ensure case notes are maintained in accordance with the Trust's Case note management Policy and that all correspondence, reports and results are filed correctly and in a timely manner.

To ensure that the medical notes are prepared for discharge summaries to be dictated.

Any other duties as may be required following discussion with the Research Delivery Manager.

Person Specification

Qualifications Essential

Level 3 qualification in relevant subject area or equivalent experience in administration ICH-GCP trained

Experience Essential

Previous experience in reception or administrative role Experienced in using excellent communication skills on the telephone, face to face and through electronic communications Highly experienced in using a variety of IT systems proficiently

Skills Essential

Ability to work under pressure and prioritise tasks Excellent interpersonal skills with the ability to communicate with anxious patients, relatives and visitors where there may be cultural or language difficulties Able to explain and discuss complicated administrative information Confident and capable of using standard Microsoft software applications Ability to manage a unit/ward admin area and multitask effectively Strong organisational skills and attention to detail

Desirable

Proficient in NHS electronic patient record systems Understanding of confidentiality, GDPR, and NHS data protection policies
