Job summary
Abbey Medical Practice is seeking a motivated and organised Administrator to join our busy practice team. Monday to Friday 8am to 4pm (37.5 hours a week). This is an excellent opportunity for an individual with strong administrative skills who enjoys working in a healthcare environment and making a positive difference to patient care.
The successful candidate will provide essential administrative support across referral management, clinical coding and patient registrations, ensuring accurate patient records and efficient practice processes.
Main duties of the job
Referrals:
Process referrals generated by clinicians using NHS referral system.
Submit and track referrals to hospitals, community services and diagnostic providers.
Liaise with patients and secondary care providers regarding referral queries.
Monitor referral tasks and ensure referrals are processed within required timescales.
Clinical coding:
Review and code clinical correspondence, hospital letters and reports within SystmOne.
Extract relevant diagnoses, procedures and clinical information from correspondence.
New Patient Registrations:
Process new patient registrations and deductions.
Manage patient record transfers and registration queries.
Ensure registrations are completed in accordance with NHS guidance and practice procedures.

Job description Job responsibilities
To provide a high-quality, efficient and confidential referral management service to clinicians and patients within the practice. The Administrator is responsible for processing referrals accurately and promptly, ensuring patient are referred appropriately to secondary care, community services, diagnostic services and other healthcare providers in accordance with practice procedures and NHS guidelines.
To be responsible for the accurate and timely coding of clinical information within the Practice's electronic patient record system (SystmOne). The post holder will review and code patient correspondence, hospital letters, diagnostic results and other clinical documentation using appropriate clinical coding standards to ensure patient records are complete, accurate and support safe patient care, QOF requirements, enhanced services and contractual reporting. The Clinical Coder will work closely with clinicians and the administrative team to maintain high standards of data quality, confidentiality and information governance, contributing to the effective management of patient care and Practice performance.

Qualifications Essential
A good standard of education, with an expectation of having both GCSE Maths and English at Grade C or above, or Functional Skills Level 2 in Maths and English Typing qualification, i.e., OCR or RSA Diploma
Desirable
NVQ Level 2 in Health and Social Care Level 3 in Medical Terminology
Experience Essential
