Job summary

Are you friendly, organised, and ready to start your career? We are looking for an Apprentice Receptionist / Administrator to join our team. You will be the first person our patients and visitors meet, so a warm and helpful attitude is important. You will learn how to greet patients, answer phone calls, book appointments, and complete everyday administration tasks. You will work with a supportive team, receive on-the-job training, and gain valuable skills and a recognised qualification. If you enjoy helping people, are willing to learn, and can work well as part of a team, we would love to hear from you.

Main duties of the job

Your duties will include welcoming patients and visitors, answering phone calls, booking and cancelling appointments, updating patient records, responding to enquiries, and carrying out general administrative tasks. You will also help keep the reception area organised and work with the team to ensure the practice runs smoothly while providing excellent customer service.

Mount Pleasant Health Centre (MPHC) is an innovative GP practice in Exeter City, caring for over 17,000 patients. We are one of the largest training practices in Devon, most of the partners are GP trainers, involved in the education of student nurses, medical students, and a variety of doctor training posts. We have an excellent relationship with our league of friends charity and our Patient Participation Group, keeping us patient focused and working together on opportunities to benefit patient care. We are the Lead Practice of NEXUS Primary Care Network (PCN), that consists of five GP Practices and covers a population of 42,000 patients. We have several PCN ARRS staff working on site at the health center providing an excellent multidisciplinary working environment. We are a modern dynamic practice and strive to balance our continued evolution with the provision of excellent family medicine.

Duties will include:

Welcome patients and deal with incoming calls and emails and act upon them accordinglyBooking appointmentsAct on tasks requested by other members of the practice teamProcess all telephone requests in a courteous, pleasant and professional mannerGeneral administrationOther duties as and when requestedAnswering phone callseConsultationHandling patients emailsProcessing appointmentsSignposting patients to appropriate healthcare servicesProcessing repeated prescriptionsFront desk duties and receiving patientsRegistration on new patientsScanningAccurately record and update patients dataDeal with general enquiriesGeneral reception dutiesAssist with cancelling and rescheduling appointments as requiredUpdating the computerised appointments system as requiredEnsure confidentiality of all recordsThe training you will be getting

Business Admin level 3 ApprenticeshipTraining in the workplace provided by PMA LtdFunctional skills maths and English, if requiredYou will have on the job training within the organisation and have an assigned assessor who will provide you with additional training sessions and assessments to gain the business administrator qualification.

Person Specification

Experience Essential

Experience using Microsoft Office applications such as Word, Outlook, and Teams.

Desirable

Previous experience in customer service, administration, or working with the public An interest in working in a healthcare environment

Qualifications Essential

GCSEs (or equivalent) in English and Maths.

Desirable

Basic IT skills.

Personal qualities Essential

Friendly, polite, and professional manner. Good communication and listening skills. Willing to learn and develop new skills. Organised and able to manage a range of tasks. Good attention to detail and accuracy. Reliable, punctual, and responsible. Able to work well as part of a team. Able to keep information confidential.
