About this role
We are looking for an accomplished and proactive Executive Assistant to support our global Chief Sustainability Officer (CSO), Chief Communications Officer (CCO) and their teams. You will also provide support for the North America Corporate Responsibility Team (CSR) which partners with non-profit organizations across communities. You will work in-office, 3-4 days per week, from our North America Headquarters located in Costa Mesa, CA and report to the Chief Sustainability Officer (CSO).
You will extend well beyond traditional calendar management; it demands a strategic partner who will guide execution, and ensure the efficient understanding of executive priorities. You will play an important role in the team's overall success. You will also represent the CSO and the team across internal and external communications, and when collaborating with Finance, Procurement, and other internal departments.
Main Responsibilities:
Manage complex calendars, travel, and meeting logistics while anticipating the needs of executives to ensure they are always prepared and focused on priorities.Refine high-quality PowerPoint presentations and executive communications. Must be fluent in visual storytelling and able to summarize complex information.Track important deliverables, deadlines, and follow-ups. Hold executives accountable to timelines and commitments, ensuring nothing falls through the cracks.Budget management including processing department invoices, partnering with Procurement throughout the year on handling/approvals of purchase requisitionsPrepare clear agendas, capture critical discussion points, and ensure follow-up on decisions and deliverables.Manage all the contracts and associated paperwork with the non-profits in the community supporting our CSR teamBuild relationships across departments to facilitate communication and understandingHelp plan leadership meetings, executive offsite events, and volunteer events locally in the office. 10+ years of experience supporting senior executives; ownership end to end of projectsAdvanced-level user of O365 suite including PowerPoint, Excel, and OutlookNetworking abilities with experience establishing professional connections across varied seniority levels both inside and outside our team. Our compensation reflects the cost of labor across several U.S. geographic markets. The base pay range for this position is listed above. Within this range, individual pay is determined by work location and additional factors such as job-related skills, experience, and education.
