Summary

The Marketing Operations Specialist plays a key role in optimizing marketing processes, systems and workflows to support the overall success of the marketing organization. This role owns and manages day-to-day operational processes, ensuring efficient execution, strong cross-functional coordination and clear visibility into marketing initiatives.

The ideal candidate is a highly organized, detail-oriented self-starter with a strong understanding of core marketing functions and a passion for improving how work gets done. They are comfortable managing multiple priorities in a fast-paced, evolving environment and bring a blend of operational, technical and analytical skills.

This role supports and enhances marketing operations through workflow management, documentation, tool and portal ownership, vendor coordination, and process standardization. The Specialist also supports adoption and effective use of marketing technologies, helping improve team efficiency and scalability.

Success in this role will be defined by improved workflow efficiency, increased visibility into marketing activities and strong adoption of tools and processes across the team.

Responsibilities

Marketing Operations and Workflow Management

Maintain and improve operational processes, documentation and standard operating proceduresSupport the Marketing Communications planning cycle and related workflowsEnsure organization and upkeep of marketing portals, shared resources and operational toolsSupport onboarding of marketing team members through coordination of resources and materialsAssist with budget tracking and vendor-related documentation Project and Performance Support

Track timelines, deliverables, and project status; proactively identify and escalate risksPrepare project summaries, status updates and reporting materialsSupport development and maintenance of basic reporting and dashboards to improve visibility into marketing activities and performanceSupport the development and maintenance of materials used for business or operational purposes.Facilitate clear communication and visibility across teams Portal and Marketing Technology Support

Own day-to-day management of marketing tools and portals, ensuring organization, usability and adoptionSupport system updates, access management and basic troubleshootingAssist with rollout and adoption of new tools and technologiesHelp maintain documentation and training materials to support effective tool usage Vendor and Asset Management

Support vendor onboarding, including documentation, access setup and process coordinationMaintain vendor lists, asset libraries, renewal schedules and compliance-related documentationSupport ongoing management of marketing assets to ensure accessibility and consistency Other Responsibilities

Support brand compliance initiativesSupport operational initiatives, planning cycles and special projectsContribute to continuous improvement efforts across marketing processes and workflowsPerform other duties as assigned Requirements

Bachelor's degree in Marketing, Communications, Business or a related fieldMinimum 5 years of experience in marketing operations, marketing or a related role (in-house or agency)Strong understanding of marketing functions, workflows and campaign executionExperience supporting or managing marketing processes, tools or systemsStrong organizational and project coordination skills with the ability to manage multiple prioritiesOperationally minded problem solver with attention to detail and a focus on efficiencyExcellent communication and cross-functional collaboration skillsAbility to synthesize information and support decision-makingExperience working with marketing technologies (e.g., CMS, marketing automation platforms, asset libraries, or similar tools)Experience with reporting, dashboards or data tracking is a plusFamiliarity with workflow or productivity tools (e.g., Planner, Workfront) preferredReliable high-speed internet (minimum 75 Mbps) What you'll get in return:
