Project Information:
Counterpart International is currently implementing a, five-year USAID-funded program in Bangladesh “Promoting Advocacy and Rights (PAR)”. The program will support the creation of a more inclusive, resilient, and evidence-driven Bangladeshi civil society. The project's goal is to provide civil society with the skills, technology, financial resources, and connections to global networks that will enable it to work in partnership with the Government of Bangladesh (GOB) to advance good governance.
Job Profile:
This position is mainly responsible for ensuring day-to-day logistics, procurement, and administrative support for the Counterpart International PAR team. Reporting to and working under the guidance and supervision of the HR, Office and Security Manager. The Administrative Assistant will support the management and oversight of all program activities, procurements with a focus on compliance with USAID rules and regulations, as well as carry out activities to ensure effective project and office administration.
Primary Responsibilities:
• Coordinate program activity logistics, ensuring participants, trainers, consultants and/or program staff have appropriate venues to participate in program events, accommodation, travel arrangements, and needed supplies necessary;
• Support management of office facilities;
• Support procurement processes in compliance with Counterpart policies and USAID rules and regulations;
• Assist to prepare the terms of reference for requisitions in coordination with the PAR technical teams.
• Assist to establish and maintain a prequalified list of suppliers in line with Counterpart policy.
• Assist in managing interactions with vendors;
• Assist to ensure deliverables are in compliance with orders;
• Maintain stationery stock registers up-to-date.
• Assist in maintaining and updating project asset inventory,
• Assist in maintaining office equipment
• Assist in project vehicle management and maintenance
• Work closely with the PAR team to prepare event and activity budgets;
• Work closely with the PAR team to support the implementation and documentation of the program events in Dhaka and subnational levels;
• Coordinate travel arrangements of PAR staff outside of Dhaka
• Update and monitor the digital and physical calendar related to technical activities;
• Assist the Office, HR, and Security Manager to carry out program and office administration activities as necessary, including but not limited to logistics, financial reporting, office management, recruitment, and auditing.
• Perform other duties as assigned.
Qualifications:
• University Degree in business administration, finance, or related field.
• At least 3 years of working experience in a similar position with a national NGO, international NGOs or donor agency.
• Experience procuring goods and services, including the drafting of agreements and contracts and conducting transparent selection of vendors/consultants preferred;
• Experience with event logistics and planning;
• Excellent organizational, analytical, oral and written communications skills;
• Excellent computer skills (MS Excel, MS Word, MS PowerPoint);
• Strong interpersonal skills and ability to work effectively with culturally diverse beneficiaries;
• Professional attitude and demonstrated ability to handle sensitive and confidential information
• Ability to take direction and work well with others;
• Highly organized with an attention to detail;
• Flexible and solution-oriented;
• Previous experience working in a USAID project highly preferred
• Proficiency in English language skills highly preferred.
