Job summary

This role is offered on a fixed term/secondment basis for 6 months. The hours are part-time, 22.5 hours per week.

Sexual Health Services provides sexual health care to people across the county of Gloucestershire. The Service covers contraception, sexual health screening and treatment, pregnancy advisory, psychosexual medicine, sexual assault and HIV care and treatment.

The purpose of this job is to provide a comprehensive and effective secretarial and administrative service to the consultants and their medical team, as well as to the Service Manager and Team Leaders.

Main duties of the job

The Medical Secretary/Administrator provides a link between the Service and patients and also other health care professionals where appropriate. This post requires a self-motivated and professional individual with the confidence and ability to work on their own initiative and as part of a team within standard operating procedures.

Job description Job responsibilities

To be key confidential contact point for GPs/patients for patients requesting a Pregnancy Advisory Clinic assessment.

Organise interpreters as requested by clinician and take responsibility for following Service protocols for overseas/out of area patients.

Accurately input data onto spreadsheets and written records and ensure availability of auditable electronic and paperwork documentation.

Acknowledge and respond to queries via telephone, email and in person providing a high standard of customer care, ensuring that enquiries are responded to professionally and relayed accurately and in a timely manner to relevant persons.

Person Specification

Qualifications Essential

Educated to GCSE level in Mathematics and English to Grade C/4 and above NVQ Level 2 in administration or an appropriate equivalent qualification or experience

Desirable

RSA Typing Level II or equivalent

Experience Essential

Experience of working in a customer facing environment (face to face and/or telephone)

Desirable

Experience supporting teams or managers in a secretarial/personal assistant capacity Setting up and running effective office systems

Knowledge Essential

Good level of IT skills, with experience of using Microsoft packages, eg Word, Excel, Outlook

Desirable

Knowledge of medical terminology an advantage Knowledge of shorthand an advantage

Skills Essential

Excellent telephone skills and manner Excellent organisational and communication skills Ability to work under pressure and remain calm and confident in manner
