About the Role
This is an exciting opportunity for a junior governance professional to develop their career in a supportive and dynamic environment. As a Governance Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our governance processes, including the effective functioning and administration of committees of our Board. You will work closely with senior leaders and contribute to initiatives that promote best practices across the organisation.
We are looking for someone who is proactive, possesses excellent organisational and interpersonal skills, and has a keen eye for detail. The ideal candidate will be able to work independently, use their initiative, and think in a connected and agile manner.
Main duties of the job
The postholder will have a good, in depth understanding of corporate governancearrangements to effectively support members of the Governance team.
The postholder will have a focus on ensuring Board committees run efficiently and in accordance with best governance practice, including scheduling meetings, venue arrangements, agenda setting with committee chairs, paper collation and distribution, as well as attending meetings forminute taking and handling post meeting matters such as action log management and supporting with committee chair reports to the Board.
The postholder will run annual planning for committees to ensure a proper cycle of business is scheduled and maintained.
The post holder will communicate with a range of stakeholders from across the organisation and externally, about a range of topics linked to the running and management of Board committee meetings.
The postholder will also support with managing and maintaining the declarations of interest registers for the organisation.
This is a full-time post and is office based, with some level of flexibility offered under the organisation's hybrid working framework.

Job description Job responsibilities
The post sits within a small central governance team, which runs the management of corporate governance and risk for the organisation. It is based mainly within our offices in Eastleigh, with some remote working possible where it meets business needs and some travel to other sites necessary on occasions.

Person Specification
Knowledge, Training and Experience Essential
Knowledge of corporate governance procedures acquired through formal training or equivalent experience. Educated to A-Level grade C or above, or equivalent qualification. Experience of arranging complex meetings. A good understanding of the health and social care environment and the roles and responsibilities within it and the NHS generally. Excellent working knowledge of Microsoft Office packages.
Desirable
Experience of supporting Board committee meetings, including preparation of agendas in line with workplans and minute taking. A good understanding of the health and social care environment and the roles and responsibilities within it and the NHS generally. Experience/knowledge of risk management. Ability to analyse data.
Communication and relationship skills Essential
Excellent communication skills, including the ability to liaise professionally with people at all levels of the organisation. Ability to inspire confidence of colleagues, particularly senior management and directors.
Planning and Organisational Skills Essential
Effective organiser, planning ahead to meet deadlines for report production and meetings. Professional, calm and efficient manner. Attention to detail and accuracy.
