Job summary
We are seeking an experienced, motivated, and proactive Patient Services Advisor to join our established Patient Services Team of 11 at The Gables Medical Group. We are a friendly, supportive practice that values teamwork and mutual support in a busy primary care environment.
The ideal candidate will be highly organised, efficient, and an excellent communicator, with strong time-management skills. You will be able to work confidently both independently and as part of a team, maintaining a professional and patient-focused approach at all times.
This position is available on part-time basis.
Tuesday & Wednesday - 5-6 hours.
Thursday & Friday - 8 hours.
Contract available is for 26-28 hours per week.
Main duties of the job
This is a varied, fast-paced role within a busy GP practice. The successful candidate will rotate across a number of key functions, providing essential administrative and patient-facing support. Duties will include, but are not limited to, the following sub-role areas:
Call Handling - Managing a high volume of incoming and outgoing calls from patients and healthcare professionals. Responding to general and complex enquiries, advising on practice procedures, and completing Klinik request forms on behalf of patients who are unable to do so themselves.
Front Desk - Welcoming and assisting patients at reception, responding to queries in person, and providing clear guidance on practice processes.
Duty Advisor - Contacting patients on behalf of the Duty GP or ANP to relay clinical advice, obtain additional information, or arrange urgent and semi-urgent appointments.
Scanning - Scanning and uploading incoming clinical correspondence to patient records, ensuring accurate processing and maintenance of clear, accessible medical records.
Prescriptions - Processing prescription requests in line with strict protocols and responding to prescription-related enquiries.
Summarising - Extracting, coding, and recording key medical history into the electronic clinical system.
The post holder will also undertake other administrative duties as required, under the direction of the Patient Services Manager.
About us
Our Clinical Team consists of 3 GP Partners, 4 Salaried GPs, a GP Registrar, and an Advanced Nurse Practitioner. The Nursing Team includes 3 Practice Nurses, 1 Nursing Associate, and 3 Healthcare Assistants.
Our Non-Clinical Team is made up of a Practice Manager, Administration Manager, Patient Services Manager, Care Coordinator, Administrators, Medical Secretaries, Patient Services Advisors, and a Medicines/Dispensary Team.
We are part of the Wansbeck Primary Care Network (PCN) and collaborate closely with neighbouring practices. PCN staff include Musculoskeletal Practitioners, Pharmacy Team, a Mental Health Practitioner, a Health & Wellbeing Coach, and Community Link Workers.

Person Specification
Experience Essential
Previous experience working in a GP practice or patient services team. Proficient IT skills, including keyboard use and electronic systems. Experience in customer service, with a professional and patient-focused approach.
Desirable
Experience using the SystmOne clinical system.
Qualifications Essential
Good standard of general education including Maths and English.
Desirable
NVQ or equivalent Business Administration/Customer Service.
Aptitude & Abilities Essential
Able to work effectively to deadlines and manage competing priorities. Remains calm and professional under pressure. Builds and maintains effective working relationships with colleagues across multi-disciplinary teams. Flexible and adaptable to changing tasks and responsibilities.
